Position Overview

This role involves a spectrum of administrative and logistical responsibilities dedicated to clients within the Golf Division. The Coordinator will support travel arrangements, daily client needs, and assist with operational and client-related activities. This position can be performed from the West Hollywood or New York offices.

Key Duties and Responsibilities

  • Support Marketing Managers and Agents in client management, particularly coordinating tournament and professional travel logistics including flights, accommodation, transportation, and visa arrangements.
  • Fulfill concierge-type requests such as reservations and personal assistance for clients and their families.
  • Assist with social media activities related to clients.
  • Manage logistics for appearances, sponsor engagements, charitable events, and media interviews.
  • Anticipate client needs proactively and deliver customized, innovative solutions.
  • Coordinate communications with clients' families and their support teams including caddies, coaches, and medical staff.
  • Develop and maintain strategic relationships within concierge services and professional golf tours.
  • Manage responses to fan mail, charity inquiries, and other general requests as directed.
  • Contribute to creating marketing content and recruitment presentations for the Golf Division.
  • Handle procurement and shipment of products for clients’ professional, personal, and charitable purposes, ensuring timely delivery.
  • Ensure all client materials such as bios and press kits are accurate and up-to-date for internal and external use.
  • Assist with scheduling, organizing meetings, and providing administrative support to Golf Division executives.
  • Document and distribute detailed meeting minutes for the Golf Division.
  • Promote a positive company culture within a dynamic, fast-paced, and entrepreneurial environment.
  • Perform other related duties as assigned.

Qualifications

  • Bachelor’s degree is mandatory.
  • One to two years of experience in the sports industry or sports marketing is required.
  • A keen interest in golf is preferred.

Skills and Competencies

  • Strong proficiency in Microsoft Office programs, especially Excel and PowerPoint.
  • Basic knowledge of Adobe Photoshop and Acrobat Pro is a plus.
  • Excellent problem-solving capabilities and resourcefulness.
  • Effective time management and organizational skills with the ability to juggle multiple tasks simultaneously.
  • Strong communication skills for interacting with diverse audiences, both written and verbal.
  • Capacity to perform accurately in a high-pressure, fast-paced environment with attention to detail.
  • Ability to stay composed under pressure and maintain professionalism.
  • Strong commitment to producing high-quality work and upholding organizational integrity and compliance.
  • Self-driven and highly detail-oriented with capacity to meet deadlines independently.
  • Highly responsive and easily accessible to meet client needs.
  • Flexible to adjust personal schedule to meet client and divisional demands, including working beyond regular hours when needed.
  • Able to work both collaboratively within a team and independently.
  • Exhibit sound judgment and discretion regarding confidential information.

Compensation and Additional Information

The annual salary ranges from $55,000 to $60,000, depending on experience. This position is non-exempt and qualifies for overtime pay beyond legal thresholds. Eligible employees may also receive benefits and discretionary bonuses. The salary details provided align with California and New York City salary transparency regulations and may vary based on factors such as experience, tenure, industry segment, and location.
