Role Overview

This position reports directly to the Chief Executive Officer and provides complete executive and personal support. The purpose of the role is to keep the CEO’s schedule, priorities and commitments running smoothly across a busy, multi-market environment.

This is a high-responsibility, high-trust position for someone who works independently, stays highly organised, and consistently delivers accurate work without close supervision.

Key Responsibilities

  • Oversee the CEO’s calendar and email correspondence with care, privacy and accuracy, including sorting incoming messages, prioritising responses, drafting replies and coordinating across UK, EU, GCC and US time zones.
  • Plan meetings end to end by preparing agendas, briefing notes and supporting materials, then recording outcomes, action items and follow-up tasks until everything is completed.
  • Keep track of all active tasks, deadlines and dependencies connected to the CEO’s work, while identifying risks early and raising them before they become issues.
  • Create polished, ready-to-use documents, summaries and correspondence from short notes or brief instructions, maintaining a professional standard at all times.
  • Coordinate all travel arrangements, including flights, hotels, local transport and detailed itineraries, while allowing for time zone differences and sensible scheduling buffers.
  • Support the CEO’s personal day-to-day needs in Dubai, such as appointments, errands, renewals and lifestyle-related coordination, so time is used efficiently.
  • Act as a trusted filter and point of contact, deciding what should reach the CEO directly and handling or redirecting other matters appropriately.

  • Taking full ownership of tasks from beginning to end and resolving matters independently.
  • Responding quickly, with same-day resolution as the expected standard whenever possible.
  • Preparing in advance so the CEO’s time is spent on decisions rather than updates.
  • Owning mistakes openly and correcting them fast, with transparency valued over concealment.
  • Treating detail as a core part of the job rather than an afterthought.

Candidate Profile

  • You are proactive and take initiative without waiting for instructions.
  • You are dependable, thorough and consistent in following through on every commitment.
  • You work with a high level of accuracy and care in scheduling, writing and document preparation.
  • You exercise good judgement, offer solutions and know when to escalate.
  • You handle confidential business and personal matters with professionalism and integrity.

  • You communicate clearly, concisely and in a timely manner.

Requirements

  • Prior experience as an Executive Assistant, Personal Assistant or Chief of Staff, ideally supporting a founder, CEO or senior leader.
  • Currently based in Dubai, or prepared to relocate there, and legally eligible to work in the UAE.
  • Strong written and spoken English skills; knowledge of other languages is an advantage.
  • Comfortable using Google Workspace tools such as Calendar, Gmail and Docs, and able to learn new systems quickly.
  • Strong writing ability for professional correspondence and document preparation.
  • Available to support international time zones when needed.
  • Preferred background includes experience with fast-growing or international businesses, a mix of executive and personal support, and the ability to improve systems and processes.
