About the Role and Organisation

An exciting opportunity is available to join the busy and supportive Outpatient Reception team at Royal Gwent Hospital as a Health Records Clerk. This role plays a crucial part in delivering high-quality patient care by managing reception duties, patient admissions and discharges, and assisting with patient appointments and records. You will be fully supported by the Health Records management team with comprehensive training and development opportunities to advance your career within the service.

Core Responsibilities

  • Collaborate with the reception team to provide an efficient and comprehensive service.
  • Conduct various reception, telephone, and clerical duties such as greeting patients and managing admissions and discharges of Day Case procedures.
  • Prepare patient notes and handle follow-up patient appointments including outcomes and rebooking as necessary.
  • Maintain professional and courteous communication with patients and healthcare staff.

Candidate Requirements

  • Excellent telephone etiquette and strong communication skills.
  • Exceptional organizational skills with attention to detail.
  • Experience working in a fast-paced environment, preferably with previous reception or customer service background.
  • Ability to work effectively both independently and within a team.
  • Capability to remain calm and meet deadlines under pressure.
  • Flexibility to work at various locations as required.
  • Proficiency or willingness to learn Welsh is essential for this role.

Education and Qualifications

  • Good standard of education, including Maths and English.
  • Computer literacy is required.
  • NVQ Level 2 in administration or equivalent basic literacy and numeracy skills.
  • Willingness to complete statutory and mandatory training including information governance and data management during induction and further training as needed.

Desired Attributes and Experience

  • Previous administrative or clerical experience is essential.
  • Customer service experience is advantageous.
  • Understanding of IT systems and the ability to follow instructions accurately.
  • Committed to delivering high-quality work with accuracy and methodical approach.
  • Demonstrates flexibility, professionalism, and self-motivation while cooperating within a team environment.
