Position Overview
The Clinical Assistant supports both clinical operations and administrative tasks to foster effective clinic workflows and uphold superior patient care standards. Responsibilities include assisting providers with patient services, managing Transcranial Magnetic Stimulation (TMS) treatments, facilitating Spravato® treatment sessions, and ensuring meticulous patient record-keeping. The role demands excellent interpersonal communication, attention to detail, and a compassionate, professional approach within a dynamic behavioral health setting.
Key Responsibilities
- Offer empathetic, professional support to patients, families, and colleagues, including welcoming patients and visitors.
- Respond promptly to phone, email, voicemail, and in-person inquiries, directing concerns appropriately.
- Verify and assist with patient paperwork completion.
- Schedule appointments and arrange follow-up care coordination.
- Maintain cleanliness and orderliness of clinical and treatment spaces and manage inventory of medical and office materials.
- Work closely with healthcare providers and staff to gather patient medical histories, vital signs, and clinical data, ensuring confidentiality.
- Facilitate point-of-care testing including urine drug screens and pregnancy tests, and assist in administering behavioral health assessments like C-SSRS and PHQ-9.
- Prepare, administer, and monitor TMS treatments under provider protocols; oversee patient safety and document treatment sessions accurately in EHR systems.
- Support Spravato administration following established protocols and maintain thorough documentation compliant with REMS requirements.
- Manage clinical and administrative data entry, patient demographics, treatment information, and assist with billing tasks such as insurance verification and payment processing.
- Ensure compliance with healthcare regulations, including HIPAA, and uphold high standards of confidentiality and professionalism.
- Perform general office duties such as faxing, scanning, and filing documentation.
- Undertake additional assignments as directed by management to support clinic operations.
Required Skills and Qualifications
- Flexibility to work varied shifts including morning (7:30 AM–3:30 PM), midday (10:00 AM–6:00 PM), and afternoon (2:30 PM–8:00 PM), based on patient scheduling priorities.
- Competency in Google Workspace tools (Docs, Sheets, Drive).
- Strong communication abilities, organizational skills, and a customer service mindset.
- Detail-oriented with effective problem-solving skills.
- Knowledgeable in HIPAA and healthcare confidentiality standards.
- Capable of both independent work and collaboration in fast-paced healthcare environments.
- High school diploma or equivalent required; Bachelor’s degree or equivalent experience preferred.
- Prior healthcare experience required; behavioral health background is highly advantageous.
- Willingness to learn and operate Electronic Health Record (EHR) systems.
- CPR/AED certification or willingness to obtain during training.
- Successful completion of TMS administration certification training within one month of employment (training provided).
Physical Requirements
- Must be able to lift, push, or pull up to 20 pounds when assisting patients or managing equipment.
- Ability to remain seated or standing for extended periods and to move freely throughout the clinic environment.
