Position Overview

The Behavioral Health Clinical Assistant plays a vital role supporting both the clinical and administrative functions within the clinic, ensuring smooth operations and delivering quality care. This person assists healthcare providers with patient care activities, oversees treatment administration like Transcranial Magnetic Stimulation (TMS) and Spravato®, maintains detailed patient records, and facilitates efficient clinic workflows. Strong empathy, precision, and professionalism are essential when working in this dynamic behavioral health setting.

Key Duties and Responsibilities

  • Provide empathetic, compassionate service to patients, their families, and team members
  • Welcome and guide patients and visitors upon clinic arrival
  • Manage communication channels including calls, voicemails, emails, and face-to-face inquiries
  • Verify patient paperwork for completeness and assist with form completion as necessary
  • Address patient questions, directing concerns appropriately
  • Schedule appointments and coordinate follow-up treatments
  • Keep clinical and office areas clean and organized, prepare rooms for patient visits
  • Handle inventory control and ordering of medical and office supplies
  • Work closely with providers and administrative leadership to enhance patient care delivery and clinic function
  • Collect and document patient medical histories, vital signs, and clinical data while respecting confidentiality
  • Support clinical tasks including vital signs collection, point-of-care testing (urine drug screens, pregnancy tests), and behavioral health assessments (PHQ9, C-SSRS)
  • Administer and monitor Spravato® treatments and oversee TMS therapy setup in line with protocols
  • Observe patients during treatment, report any adverse effects promptly
  • Maintain thorough documentation within Electronic Health Records (EHR)
  • Act as communication bridge between TMS team, patients, and clinic leadership
  • Manage administrative responsibilities such as updating patient demographics, billing assistance, insurance verification, and pharmacy communications
  • Ensure all Spravato® documentation meets regulatory (REMS) and clinic standards
  • Adhere to healthcare regulations including HIPAA to guarantee confidentiality and compliance
  • Perform additional duties as assigned by management to uphold clinic standards and treatment consistency

Skill Requirements

  • Adaptability to flexible clinic hours: primary shifts are mornings (7:30 am-3:30 pm), midday (10 am-6 pm), or afternoons (2:30 pm-8 pm), scheduled by patient demand
  • Proficient in Google Workspace tools (Docs, Sheets, Drive)
  • Excellent interpersonal, communication, organizational, and customer service skills
  • Strong detail orientation and effective problem-solving capacity
  • Familiarity with healthcare privacy laws and professional confidentiality standards
  • Capacity to work both independently and as part of a team in a fast-paced environment

Qualifications

  • High School Diploma or equivalent required
  • A Bachelor’s degree or comparable relevant experience mandatory
  • Prior experience in healthcare settings preferred, behavioral health experience especially valuable
  • Quick learner with ability to use Electronic Health Record software
  • Must hold or be willing to obtain CPR/AED certification during training period
  • Commitment to completing TMS certification through BrainsWay within the first month of hire (training provided)

Physical Requirements

  • Ability to lift, push, or pull objects weighing up to 20 pounds during patient assistance or equipment handling
  • Capable of prolonged standing or sitting as required during shifts
  • Mobility throughout the clinic space as duties demand
