About the Role
This position involves working as a full-time administrative assistant to support the investment banking team in Frankfurt. The role requires managing schedules, organizing meetings and travel, processing expenses, and handling team administrative tasks with a proactive and detail-oriented approach.
Key Responsibilities
- Efficiently handle calendar management for busy investment bankers.
- Coordinate travel arrangements including comprehensive travel itineraries.
- Communicate and coordinate with internal and external parties to organize client meetings and trip agendas.
- Process expenses and invoices promptly.
- Arrange meetings, book conference rooms and catering, register guests, and prepare necessary materials.
- Ensure compliance with regulatory requirements and obtain necessary approvals.
- Manage general team administrative duties such as photocopying, printing, attendance tracking, and phone message management.
- Maintain awareness of team priorities and deliver required support consistently.
- Promote knowledge sharing within the team and disseminate relevant information.
- Assist in organizing client events.
- Offer flexibility by supporting and covering tasks for assistant colleagues when needed.
Candidate Profile and Skills
- Fluency in German and English is mandatory.
- Previous experience as an assistant or in similar administrative or customer service roles.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Exceptional attention to detail.
- Excellent interpersonal and teamwork abilities, including collaboration with local and global assistant teams.
- Clear, concise, and confident communication skills.
- Proactive attitude, capable of taking initiative, following up independently, and seeking clarification when necessary.
- Strong work ethic combined with a positive mindset oriented towards growth.
- Ability to maintain professionalism and composure under pressure.
- Discretion and confidentiality in handling sensitive information.
- Proficiency with Microsoft Office applications such as Outlook, Word, and Excel.
