Role Overview
This position focuses on researching and resolving complex payroll tax notices spanning federal, state, and local jurisdictions. The role is based in Pune (Kalyani Nagar) and requires readiness to work night shifts aligned to US time zones. Multiple openings are available.
The role sits within tax research and compliance and requires advanced handling of notices, reconciliations, customer communication, and agency coordination. It demands strong autonomy, the ability to prevent repeat issues, and the judgment to support both customers and internal teams.
Key Responsibilities
- Investigate, analyze, and close complex payroll tax notices within committed service levels.
- Reconcile quarter-to-date and year-to-date wages, as well as withheld, reported, and deposited tax amounts across quarterly and annual filings.
- Resolve issues related to SUI, SIT, PFML, workers’ compensation, and local tax compliance.
- Manage notices for employers operating across multiple states.
- Call customers when needed to explain the root cause of a notice and the corrective action being taken.
- Handle escalated customer conversations and sensitive cases.
- Review rejected filings, agency mismatches, rate changes, profile errors, and deposit misapplications.
- Work with state and local agencies to clear discrepancies, penalties, and interest charges.
- Drive end-to-end closure of cases with an emphasis on avoiding repeat notices.
- Use TPA and POA processes effectively.
- Reduce penalties and interest by negotiating with agencies and submitting corrective filings.
- Maintain clear and complete case records in Salesforce.
- Coordinate with internal teams to fix upstream issues that lead to notices.
- Provide guidance to internal stakeholders on payroll tax questions.
- Carry out advanced payroll reconciliations and variance analysis.
- Use payroll tax systems and agency portals to identify and close compliance gaps.
- Work with ADP Master Tax, Salesforce, Ultimate Tax Engine, and UKG Pro to complete research and resolution tasks.
- Reprioritize work as needed to reduce exposure for both customers and the organization.
- Perform internal and external quality reviews, with a minimum of 10 cases per analyst, and share structured feedback.
- Identify recurring causes behind notice generation.
- Review, update, and version-control SOPs on a quarterly basis.
- Create and maintain training materials.
- Lead or support process improvements that strengthen compliance accuracy and reduce repeat notices.
- Help improve CSAT by maintaining proactive communication and high-quality resolution standards.
- Act as a go-to resource for Level 13 analysts on complex reconciliations and notice handling.
- Support knowledge-sharing sessions and cross-training activities.
- Maintain reference guides and training content.
- Support audits and compliance review activities when required.
- Assist leadership with productivity reports, trend analysis, and performance insights.
- Align with team leads on productivity and quality benchmarks.
- Present improvement ideas and help implement approved changes.
- Serve as backup to the Team Leader when needed.
Required Qualifications
- Bachelor’s degree in Business, Accounting, Commerce, or Finance from a recognized institution.
- At least 5 years of relevant experience in payroll tax research, compliance, or agency resolution.
- Strong expertise in federal payroll tax, SUI, SIT, PFML, workers’ compensation, and local tax regulations.
- Proven experience with advanced multi-state payroll tax reconciliations.
- Ability to negotiate effective resolutions with customers and payroll tax agencies.
- Comfort working across multiple systems and tools.
- Customer service capability, including expectation setting, empathy, follow-up, and issue ownership.
- Strong oral and written communication skills, along with solid administrative ability.
- Good time management to meet production and aging targets.
- Experience using tax agency portals and payroll tax filing systems.
- Strong analytical and problem-solving skills.
- Willingness to work night shifts.
Preferred Qualifications
- CPP or FPC certification.
- Experience supporting audits and compliance reviews.
- Background in mentoring or guiding teammates.
- Working knowledge of quarterly and annual payroll tax reconciliations.
- Prior customer service experience.
