Role Overview

The Senior Finance Officer is a part-time position requiring approximately two to three days per week. This role involves hands-on management of the firm’s financial functions under the guidance of the Managing Director and in collaboration with external accountants. The officer will carry responsibility for payroll administration, invoicing, expenses, reconciliations, statutory compliance, and maintaining precise financial records and controls. The position is located in Canberra or Sydney, with a focus on timely and accurate financial operations supporting the firm's business health.

Key Responsibilities

  • Manage daily financial operations including payroll, invoicing, and expenses.
  • Coordinate payroll activities, documenting employee changes, leave, deductions, and records.
  • Collaborate with external accountants to ensure accurate, compliant payroll processing and superannuation contributions.
  • Oversee end-of-month invoicing by verifying timesheets, billing data, purchase orders, and client guidelines.
  • Issue client invoices and track accounts receivable balances.
  • Monitor expenditure relative to client/internal purchase orders and highlight discrepancies or potential budget overruns.
  • Administer accounts payable processes including supplier invoices and employee reimbursements.
  • Maintain comprehensive records of business expenses, subscriptions, and recurring financial commitments.
  • Conduct or coordinate reconciliations for bank, payroll, credit cards, accounts receivable, and accounts payable.
  • Update financial platforms like Xero to reflect accurate financial data.
  • Assist accountants with Business Activity Statements and tax filings.
  • Manage insurance policies, premiums, and related reporting requirements.
  • Monitor timesheet completion by employees and follow up on inconsistencies.
  • Provide reports on work-in-progress, billing status, revenue recognition, and broader financial performance metrics including cash flow and profitability.
  • Support budgeting, cash flow forecasting, and financial control measures.
  • Maintain internal financial controls, approval workflows, and documentation.
  • Coordinate compliance with all financial, taxation, payroll, and regulatory obligations along with external accountants.
  • Provide additional financial administrative support and reporting as needed by the Managing Director.

Required Qualifications and Experience

  • Relevant studies in accounting, finance, bookkeeping, business, or related fields.
  • Extensive experience in financial roles encompassing finance officer, senior accounts, payroll, bookkeeping, or financial administration.
  • Proven capability managing payroll, invoicing, accounts payable/receivable, expense processing, and reconciliations.
  • Proficiency with Xero accounting software for invoicing, reconciliation, and payroll.
  • Familiarity with payroll, employee management, time-tracking, and expense software platforms.
  • Advanced Microsoft Excel skills to generate accurate and clear financial reports.
  • High confidentiality standards in handling sensitive payroll and financial data.
  • Excellent communication skills, both written and verbal.

Desirable Experience

Experience with legal practice or document management systems such as Clio or iManage, or working within professional services such as consulting, legal, or accounting is a plus.

Security Requirements

Preference is given to candidates holding or able to obtain an AGSVA-issued Baseline security clearance due to the firm's work nature.

Working Conditions

This part-time role requires approximately two to three days weekly, based in Canberra or Sydney. Some flexibility in work arrangements may be possible, but consistent attendance and availability during financial deadlines are essential.
