About the role

Gartner is looking for a Receptionist in Riyadh to be the first point of contact for visitors, clients, and associates. This role combines front-desk service, office coordination, and day-to-day workplace support, with a strong focus on professionalism, organization, and customer care.

Communications

  • Build and maintain positive relationships with clients and visitors as they arrive at reception.
  • Answer incoming calls in a courteous, clear, and professional way so all enquiries receive prompt support.
  • Welcome every visitor to the office, understand what they need, and direct them to the right person or provide general guidance.
  • Make sure visitors and associates use the visitor management system correctly.
  • Support associates in using new office-space and security technology platforms introduced by Gartner.
  • Act as a communication bridge between associates, visitors, and the real estate team.

Office operations

  • Support onboarding and exit activities by handling inductions, welcome kits, locker allocation, and building access cards.
  • Process supplier invoices in Coupa.
  • Coordinate courier and mail handling requests.
  • Arrange business cards, staff name tags, and other printing-related requirements.
  • Manage hospitality requests such as catering and meeting-room setup.
  • Carry out office and pantry supply checks, purchasing, and storage management.
  • Understand the use and basic upkeep of office equipment such as coffee machines, dishwashers, microwaves, and refrigerators.

Teamwork

  • Provide backup support across the GRE team when someone is absent or unwell to keep service running smoothly.
  • Work closely with the real estate team to deliver reception services effectively.
  • Support the administration of office processes, including maintenance planning, upkeep, and presentation of the workplace.

Liaison and networking

  • Coordinate with associates and external visitors to provide a complete and helpful service experience.
  • Partner with building management, vendors, and internal teams to keep daily office operations on track and raise tickets when needed.

Service delivery

  • Maintain high standards of customer care across reception and shared office spaces.
  • Respond to associate requests and help them use office facilities effectively.
  • Keep reception and office areas clean, safe, and functional.
  • Assist with kitchen and pantry cleaning, restocking, and other consumables for daily use.
  • Prepare meeting rooms after each use by resetting furniture, checking cleanliness, and noting any maintenance needs.
  • Inspect, record, escalate, and follow through on cleaning, repair, and maintenance issues through daily routines, manuals, and checklists.
  • Use customer relationship thinking to improve satisfaction with the service provided.

Skills and experience expected

The role calls for strong spoken and written communication, solid MS Word and Excel ability, a professional telephone manner, excellent organization, discretion with confidential information, flexibility, multitasking, and the confidence to deal with people at all levels. Prior experience in reception, office coordination, hospitality, customer service, or passenger service would be an advantage.
