About the role
Tauranga City Council is seeking a Project Administrator to support the City Waters team in delivering important infrastructure projects across Tauranga. This position is ideal for someone who enjoys staying organised, keeping work on track, and making day-to-day tasks easier for a busy project team.
The role is varied and practical, involving close collaboration with Project Managers and the Programme Manager. You will help coordinate documents, meetings, actions, reporting, financial administration, and general team support so projects can progress smoothly and efficiently.

Key responsibilities
- Maintain orderly project documentation, email records, correspondence, and registers.
- Prepare meeting agendas, capture minutes or review AI-generated minutes, and track follow-up actions.
- Assist with communication activities such as mail merges, letter distribution, and engagement registers.
- Create and organise project and contract folders, templates, and key reference information.
- Support project reporting, checklists, and gateway documentation.
- Assist with purchase orders, invoices, accruals, contract forms, and monthly financial updates.
- Help with contract setup in SAP, variations, supplier details, and approval/sign-off processes.
- Handle practical administration such as room bookings, catering, PPE, training bookings, and general coordination tasks.
- Provide day-to-day support that helps project managers work efficiently and stay across key details.
Skills and experience needed
You do not need to know everything from the outset, but you should be organised, proactive, and ready to get involved.
- Background in administration, project support, or coordination.
- Strong accuracy and confidence using documents, spreadsheets, and workplace systems.
- Clear communication skills and a helpful, follow-through mindset.
- Ability to manage several tasks at once while keeping an eye on detail.
- Practical attitude and willingness to learn project processes and systems.
- Experience in infrastructure, construction, local government, or a project-based environment would be helpful, though not essential.
