Role Summary
The Patient Scheduler is responsible for arranging clinical staff visits for patients. This includes coordinating with Option Care nursing staff, subcontracted nurses, and network nurses as needed. The role works closely with pharmacy, nursing, and warehouse teams to understand staffing needs and availability so patient care can be delivered appropriately. Additional duties may be assigned by the Nurse Manager, Area Director of Nursing, or Director of Operations.
Key Responsibilities
- Arrange the right staffing support to ensure patient care is covered appropriately.
- Coordinate, track, and organize patient care schedules across clinical departments.
- Reach out to patients and clinicians to set up and confirm deliveries and visit times.
- Review physician orders and schedule visits in line with those instructions.
- Complete assigned tasks and generate reports in the systems used by the team.
- Align scheduling requirements with staff availability.
- Keep leadership informed about staffing gaps and related needs.
- Route patient complaints or concerns to the proper department for follow-up.
- Step into clerk duties when needed if clerical support is unavailable.
- Follow legal and ethical standards to protect patient privacy and company confidential information.
- Take on other related tasks as assigned.
Supervisory Responsibilities
This position does not include supervisory duties such as hiring, promotions, pay changes, scheduling oversight, performance reviews, or discipline.
Education and Experience
- High school diploma or an equivalent credential is required.
- At least 1 year of prior scheduling experience is required.
- At least 1 year of experience in general office administration or another fast-paced environment is required.
Core Qualifications
- Ability to communicate clearly both verbally and in writing with a range of audiences, including coworkers, leadership, and external clients.
- Basic working knowledge of Microsoft Word 2003 or newer, including document creation, text formatting, tables, layouts, and adding graphics.
- Basic working knowledge of Microsoft Excel 2003 or newer, including worksheets, data entry, simple formulas, and cell/row handling.
- Experience delivering customer service to internal and external stakeholders while meeting service quality expectations and customer satisfaction goals.
Preferred Qualifications
- Prior experience in home healthcare.
- Familiarity with electronic scheduling systems.
- 2 years of experience in general office administration or a similar fast-paced setting.

Compensation
As required by state pay transparency laws, the role’s pay range is $19.57 to $32.63 per hour. Final pay depends on the candidate’s education, experience, knowledge, skills, abilities, internal equity, and market alignment.
