Role Overview

The Office Coordinator will act as the main in-office liaison for employees and guests, ensuring a professional environment and smooth daily office operations. The role is central to maintaining high standards in the workplace, supporting operational activities, and enhancing employee and visitor experiences aligned with GOVX’s mission-driven culture.

Key Responsibilities

  • Serve as the primary contact for employees, members, and visitors to provide a welcoming and professional experience.
  • Manage daily office functions including handling mail, supplies, badge access, and administrative support.
  • Ensure the office environment, including kitchen and common areas, remains clean, orderly, and well-stocked.
  • Handle vendor relationships related to repairs, cleaning, and facility maintenance to guarantee timely and quality service.
  • Coordinate maintenance activities with vendors and building management for effective issue resolution.
  • Organize all on-site events such as annual kickoff meetings, team-building, board meetings, and weekly business-sponsored lunches.
  • Manage office catering, snack programs, and supplies while tracking budgets and delivery consistency.
  • Provide operational support to the marketing activation team in-office for campaign logistics and workspace management.
  • Oversee internal office communication and visitor announcements using front desk and AV technology.
  • Collaborate with HR and other departments to support office priorities, including meetings, scheduling, and onboarding processes.
  • Work alongside IT to maintain office technology, address workspace requirements, and resolve issues ensuring smooth day-to-day operation.

Qualifications

  • Professional demeanor in appearance, communication, and interpersonal interactions, combined with a friendly, service-focused attitude.
  • Strong organizational, multitasking, and prioritization capabilities.
  • Good communication skills and effective problem-solving aptitude.
  • Ability to work autonomously with self-motivation.
  • Proficiency in Microsoft Office suite.
  • Associate’s degree is required; higher education preferred.

Work Environment and Physical Requirements

  • 100% on-site role, Monday through Friday from 8:00 am to 5:00 pm in a professional office setting.
  • Routine use of standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
  • Largely sedentary work, with occasional filing duties requiring lifting and bending.
  • Mental tasks include problem-solving, decision making, organizing, and written communication.

Additional Information

  • No travel obligations are associated with this position.
  • This position has no supervisory duties.
