Role Overview
This in-office role in Toronto places you at the frontlines of our organization, acting as the primary point of contact for all visitors, calls, and internal office needs. As the first person guests, partners, and candidates see, you set the tone for their experience and ensure office operations run smoothly by triaging communications, managing logistics, and taking quick initiative to solve issues.
Main Responsibilities
- Handle all incoming phone calls, assessing priority, and directing them efficiently without missed connections.
- Manage the flow and security for in-office visitors, ensuring a welcoming and professional first impression.
- Log, monitor, and resolve support tickets within agreed timeframes.
- Coordinate meeting logistics, from booking rooms and sending invites to preparing physical setups for timely starts.
- Address and resolve office issues as they arise, such as catering hiccups, room malfunctions, or courier issues.
- Oversee the procurement process for office supplies, including placing orders and tracking invoices to Finance.
- Assist in organizing internal events, handling arrangements for food, drinks, and setup.
- Accurately receive, record, and dispatch packages and couriers with precision and time efficiency.
- Cultivate strong working relationships internally and with external business partners.
Required Experience and Education
- Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint in a dynamic office setting.
- Background supporting staff in a high-activity workplace.
- Comfortable handling frequent calls, walk-in inquiries, and urgent requests.
- Demonstrated organizational skills and ability to follow through under pressure.
- Completion of post-secondary education and prior related office administration experience.
- Experience coordinating projects or providing direct assistance across departments.
Language Proficiency
Fluency in French, Spanish, or German is considered an asset to better serve a diverse international client base.
