About the Role

Advara HeartCare is hiring a full-time Medical Secretary for its Western Australia clinics, based in the Hollywood/North of the River Clinics area in Nedlands. This is a permanent, on-site role within medical administration, supporting a leading Australian cardiology network focused on high-quality patient outcomes and care.

The position sits within an organisation that has been Australian-owned for more than 20 years and has grown into the country’s largest cardiology provider, with over 90 centres and 100 doctors. Role Impact

In this role, you will provide administrative and secretarial support to specialists and patients with a variety of cardiovascular conditions. Your work will help keep clinic operations running smoothly while supporting the delivery of excellent healthcare.

Your clinic-based work will be at Hollywood Consulting Centre, while your administrative days may be scheduled at other Advara HeartCare locations. Some travel across sites may be needed, and you may also be asked to offer short-term administrative cover at other practices when required.

What You Will Handle

  • Manage specialist schedules, clinic bookings, and appointment coordination.
  • Provide personal assistant-style support to specialists.
  • Prepare and issue patient invoices, receipts, and quotes.
  • Respond to account-related queries and support billing for Medicare, DVA, and private health funds.
  • Communicate with hospitals, healthcare providers, and other stakeholders.
  • Use medical practice software, including Healthtrack, for day-to-day administration.
  • Maintain accurate records and support efficient clinic operations.
  • Travel between Advara HeartCare sites when needed and provide short-term administrative relief at other practices.

What You Need

  • At least 2 years of experience working as a medical secretary.
  • Experience coordinating a specialist’s diary, bookings, and clinic schedule.
  • Background in providing administrative or PA support to specialists.
  • Strong knowledge of medical terminology; cardiology terminology is an advantage.
  • Ability to work confidently with medical management software, preferably Healthtrack.
  • Excellent organisation, prioritisation, multitasking, and pressure-handling skills.
  • Strong written and verbal communication abilities.
  • Effective stakeholder management skills across hospitals and healthcare providers.
  • High attention to detail and solid computer literacy.
  • A current Australian driver’s licence.
