Role Summary
The Marketing Events Specialist will be responsible for the end-to-end execution of regional Tier 2 and Tier 3 marketing events. This involves transforming sponsorship agreements into actionable plans, vendor coordination, managing deadlines, prepping internal teams, supporting event marketing efforts, overseeing onsite preparations, and handling post-event analysis and reporting.
Key Responsibilities
- Oversee assigned events from initial handoff through completion.
- Translate sponsorship details into detailed execution plans, timelines, deliverables, and deadlines.
- Simultaneously manage multiple event workflows efficiently.
- Coordinate with event organizers, venues, production partners, and vendors to ensure smooth operations.
- Identify potential risks or barriers early and communicate the need for support promptly.
- Organize logistics and onsite readiness including booth setup requirements like AV, internet, furniture, signage, and equipment.
- Manage shipment schedules for promotional materials and event assets.
- Assist with venue sourcing and logistics for ancillary events such as happy hours and meetups.
- Prepare Sales and field teams with necessary materials and support onsite.
- Handle day-of event logistics and swiftly resolve any execution challenges.
- Support event marketing activities including invitations, registrations, website promotions, social content creation, and internal communications.
- Create and manage registration pages using platforms like Splash and Luma.
- Coordinate design briefs for invitations, signage, booth graphics, and other marketing materials.
- Track creative requests to ensure timely delivery.
- Implement activations to boost attendee engagement and booth traffic.
- Produce clear "Know Before You Go" guidelines covering event agendas, logistics, responsibilities, and expectations.
- Maintain event calendars, communication channels, and update stakeholders regularly.
- Keep accurate event tracking in tools such as Notion.
- Manage event-related budgets by tracking spending, contracts, invoices, and vendor documents.
- Source swag and other purchases ensuring alignment with budget and branding.
- Complete detailed post-event reports including outcomes, follow-ups, and lessons learned.
Candidate Profile
- Proven experience in managing B2B conferences, trade shows, sponsorships, or field events.
- Ability to independently drive event management from handoff through to completion.
- Strong vendor coordination and production timeline management skills.
- Excellent project management with an aptitude for juggling multiple deadlines.
- High attention to detail and responsiveness.
- Effective written and verbal communication capabilities.
- Self-reliant while knowing when to escalate issues or seek support.
- Experience working cross-functionally with Sales, Marketing, Design teams, and external partners.
- Familiarity with event marketing, registration, and minor promotional communications.
- Knowledge of collaboration and event platforms such as Notion, Slack, Splash, and Luma.
- Willingness to travel regionally and attend occasional evening or weekend events.
- B2B technology industry experience is preferred though not mandatory.
Additional Details
- This role is a six-month contract position with potential for extension.
- Expected weekly commitment is between 20 and 30 hours, with variability depending on event cycles.
- The hourly pay ranges from 52 to 61 Euros per hour.
- Immediate availability required for interviews and onboarding.
