Role Overview
We seek a well-organized, proactive Marketing Events Specialist to handle the execution of regional Tier 2 and Tier 3 events. This position involves taking charge of events from the initial sponsorship handoff through to completion, with responsibilities encompassing building detailed execution plans, managing vendors and deadlines, coordinating internal teams, supporting event promotion efforts, ensuring onsite event preparations, and conducting post-event analysis.
Key Responsibilities
- Own full event execution from start to finish, transforming sponsorship details into actionable plans, timelines, and deliverables.
- Manage multiple events simultaneously, coordinating various workstreams and stakeholders to maintain steady progress.
- Collaborate directly with event organizers, production teams, venues, vendors, and regional marketing, sales, and design teams.
- Coordinate logistical requirements such as AV, internet, furniture, signage, and booth equipment.
- Manage shipping schedules for marketing materials, swag, and other event assets.
- Support venue sourcing and logistics for auxiliary gatherings such as happy hours and networking meetups.
- Equip sales and field teams with necessary materials and information to succeed during events.
- Assist with day-of-event logistics, swiftly resolving any issues that arise onsite.
- Handle event marketing and communications by coordinating invitations, registrations, social media content, and internal announcements.
- Create and manage event registration pages using platforms like Splash and Luma.
- Brief design teams on creative assets such as invitations, signage, and booth graphics and track their completion.
- Implement attendee engagement activities to enhance booth traffic and event participation.
- Develop clear pre-event communications covering agenda, logistics, responsibilities, and onsite expectations.
- Maintain organized calendars, Slack channels, and communication threads to keep teams aligned.
- Track event progress, ownership, deadlines, and flag risks to relevant stakeholders.
- Maintain accurate records for event spending, contracts, invoices, procurement, and vendor documents.
- Coordinate swag sourcing and purchases mindful of budget constraints and brand standards.
- Compile post-event reports including outcomes, follow-up actions, and lessons learned for continuous improvement.
Candidate Profile
- Proven experience managing B2B conferences, trade shows, sponsorships, field events, meetups, or similar event types.
- Ability to independently oversee an event's lifecycle from handoff to closure.
- Proficient in coordinating multiple vendors, managing timelines and logistics including shipments and booth setups.
- Strong project management skills with the ability to juggle simultaneous deadlines effectively.
- Exceptional attention to detail, reliability, and proactive communication abilities.
- Clear and professional written and verbal communication skills.
- Capable of working autonomously while escalating risks timely when needed.
- Experience collaborating with cross-functional teams such as sales, marketing, design, and external partners.
- Familiarity supporting event marketing activities including registrations and promotional communications.
- Comfortable using collaboration and event management tools including Notion, Slack, Splash, and Luma or equivalents.
- Willingness and availability for regional travel and occasional work during evenings or weekends.
- Experience within B2B technology sectors is advantageous; direct fintech, cryptocurrency, or cybersecurity experience is beneficial but not mandatory.
Additional Information
- This position is an immediate need; candidates should be ready to interview promptly and onboard within a few weeks if selected.
- The role is structured as a six-month contract with the possibility for extension.
- The expected workload ranges between 20 to 30 hours per week with potential fluctuations during peak event periods and occasional availability for additional hours.
Success Indicators
The ideal candidate will ensure TRM delivers professionally organized regional events without missed deadlines or unexpected issues. By independently managing a high volume of smaller events, the role allows regional Events Leads to focus on larger strategic initiatives. Clear communication and coordination will enable internal teams and vendors to execute flawlessly, representing TRM positively and efficiently.
