Role Overview
The Market Administration Coordinator (MAC) plays a pivotal role in managing intricate administrative functions for a designated field team. This position ensures seamless operations by coordinating clinician schedules, enhancing team productivity, and delivering administrative aid to key leaders within the Pod, including MPE, MM, and CPL. Success in this role is measured by the MAC's ability to meet clinician productivity goals effectively.
Key Responsibilities
- Continuously assess weekly and daily clinician calendars to maximize staff usage by scheduling new visits, rescheduling inefficient appointments, reallocating visit responsibilities, confirming visits, and contacting patients directly when necessary.
- Offer administrative support by managing communications, including addressing clinician scheduling inquiries and verifying Doxy compatibility among members via Teams chats.
- Regularly monitor, analyze, and report on staff productivity and utilization, identifying any underperforming or outlier team members proactively.
- Support onboarding processes for new hires by optimizing their schedules to facilitate training and gradual increase of patient visits.
- Coordinate scheduling adjustments between the field clinical teams and centralized scheduling units.
- Occasionally engage directly with patients to arrange, reschedule, or confirm visits.
- Carry out additional related duties as required.
Qualifications and Skills
- Bachelor's degree or equivalent experience in healthcare management, managed care, or home health care settings.
- Prior healthcare industry experience preferred for bachelor’s degree holders, particularly in healthcare management, managed care, or home health.
- Experience in analyzing performance metrics and staff productivity is essential.
- Familiarity with Microsoft Excel and Salesforce is advantageous.
- Strong organizational abilities and a proven track record of accountability for performance results.
- Ability to juggle multiple priorities simultaneously.
- Effective verbal, written, and visual communication skills.
- Willingness to travel up to 25% within assigned market area, despite the role being remote.
