Job description

About the Company

Karbon is a global provider of AI-enabled practice management software built for accounting firms. Its cloud platform helps accounting professionals work more efficiently and collaboratively, serving customers in 40 countries. The company operates with a distributed team across the US, Australia, New Zealand, Canada, the United Kingdom, and the Philippines. It is well-funded, ranked #1 on G2, growing quickly, and recognized for its people-first culture through Great Place To Work® certification and a place on Fortune magazine’s Best Small Workplaces™ List.

The People team is high-performing and strongly aligned around Karbon’s values. The organization is seeking an operations leader who is deeply AI-native, can create scalable systems, and sees agentic workflows as the core of modern People Operations. Reporting to the VP of People, this position will own the operational foundation for hiring, onboarding, and supporting employees across six countries, with room to grow into a broader pillar within the People function.

Role Overview

This is not a coordination or ticket-handling role. The focus is on designing how work should flow, and using agents wherever they can take over routine execution. The role covers the operating engine for People Operations, with meaningful support for Talent Acquisition through forecasting, reporting, and data accuracy, plus ownership of benefits administration. Success will be measured by how much of the system runs without direct human intervention.

What You Will Do

  • Build and continuously refine the full People Ops and TA operating system, making AI agents and agentic workflows the default way work gets done across onboarding, offboarding, employee changes, and recruiting.
  • Create and launch AI agents to handle routine tasks from start to finish, such as onboarding coordination, compliance paperwork, offer letter preparation, interview scheduling, and first-line employee support.
  • Monitor multi-country HR compliance with AI-driven checks that identify risk, highlight regulatory updates, and keep entity obligations current without manual tracking.
  • Develop real-time reporting and analytics for People and TA, including hiring funnel insights, operational health metrics, and dashboards that leadership can use immediately.
  • Operate the HRIS, ATS, and wider People technology stack as one connected, AI-enabled ecosystem, assessing new tools based on their readiness for automation and API integration.
  • Support Talent Acquisition with pipeline forecasting, recruiting data quality, and funnel reporting, while helping hiring managers use AI to better track and interpret hiring activity.
  • Manage benefits administration and vendor relationships for the US entity, using AI to simplify open enrollment, track eligibility, and analyze utilization trends.
  • Improve employee experience by anticipating friction points and deploying workflows or agents before issues turn into support tickets.
  • Create and maintain process documentation and knowledge resources so workflows are both easy for people to follow and usable by agents.
  • Work with Finance, IT, and Legal through AI-supported workflows on headcount planning, access provisioning, and contract or policy management.
  • Coach the broader People team on AI literacy, agent design, and automation practices, helping shape an AI-forward operating model.
  • Own AI governance for the People function to ensure the use of tools and agents is compliant, ethical, and appropriate for sensitive employee and candidate data.

Requirements

  • At least 5 years of progressive experience in People Operations or HR Operations, including some leadership or team lead responsibility.
  • Experience in SaaS or another high-growth technology environment is essential.
  • Hands-on experience with AI tools, agent builders, and agentic workflows, including having built and maintained agents that perform real operational work.
  • Strong technical comfort with APIs, integrations, automation tools such as Zapier, Make, or n8n, and prompt engineering.
  • Multi-country HR operations experience is preferred, especially across combinations of the US, UK, Australia/NZ, Canada, and the Philippines.
  • A track record of redesigning processes from the ground up with a strong preference for automation over adding headcount.
  • Working knowledge of US benefits administration, including open enrollment, carrier coordination, and compliance fundamentals such as ACA and ERISA.
  • Practical understanding of HR compliance across multiple jurisdictions, including judgment on when AI can handle a task and when human oversight is needed.
  • Strong data fluency, including the ability to build dashboards, interpret funnel metrics, and use AI to go deeper into operational analysis.
  • Systems thinking with the ability to connect People Ops, TA, and Benefits into one operating model.
  • Player-coach mentality: able to work independently, build and execute yourself, and grow into larger leadership as the function scales.
  • High integrity, strong emotional intelligence, and discretion when handling sensitive employee and candidate information.
  • Genuine enthusiasm for AI’s impact on People Operations and a clear perspective on what AI-native HR should look like.

Benefits and Perks

  • Experience working across global teams in the USA, Australia, New Zealand, the UK, Canada, and the Philippines.
  • Paid flexible time off, with an encouraged usage target of 3 weeks per year.
  • Company-paid medical coverage for you and eligible spouse/partner and dependents.
  • Company-paid dental and vision coverage for you and eligible spouse/partner and dependents.
  • Fully company-funded short-term and long-term disability coverage.
  • Fully company-paid life insurance.
  • 401(k) with company matching.
  • Flexible Spending Account.
  • Up to 8 weeks of paid parental leave.
  • Work-from-home stipend.
  • Opportunity to learn from an experienced, high-performing team.
  • A collaborative, team-oriented culture that values diversity, development, and consistent feedback.
  • Strong internal growth culture with a focus on promoting high performers from within.

Compensation

The estimated base salary range for this position is USD 120,000 to USD 130,000 per year. Actual compensation depends on several factors, including location, cost of living, experience, skills, and broader business needs. Base pay is only one part of total compensation and may be complemented by a target bonus, equity for some roles, and generous benefits.

Karbon is committed to diversity and inclusion. Candidates are encouraged to apply even if their background does not match every listed qualification, as long as they believe they can contribute strongly to the role.
