Job description
About the Company
Karbon is a leading AI-driven practice management platform for accounting firms. Its cloud-based product helps accounting teams collaborate and operate more efficiently, and it serves customers in 40 countries. The company has a distributed workforce across the US, Australia, New Zealand, Canada, the UK, and the Philippines. It is well funded, ranked #1 on G2, and recognized as a Great Place To Work® as well as a Fortune Best Small Workplaces™ honoree.
The People team is a high-performing group focused on supporting Karbonites and living the company values. This role reports to the VP of People and is designed for an operations leader who is naturally AI-first, can build scalable systems, and sees agentic workflows as the foundation of modern People Operations. The position owns the operating engine behind hiring, onboarding, and employee support across six countries, with room to expand into a broader People pillar over time.
This is a senior operations role, not a coordination or support-ticket role. The focus is on designing how work should be done, with agents handling routine tasks wherever possible. The role combines People Ops ownership, recruiting operations support, and benefits administration, and success will be measured by how much of the system can run without manual intervention.
Key Responsibilities
- Redesign and continuously improve the full People Ops and TA operating model, using AI agents and automated workflows as the standard approach for onboarding, offboarding, employee changes, and recruiting operations.
- Create and implement agents that can handle recurring tasks from start to finish, such as onboarding coordination, compliance paperwork, offer letter drafting, interview calendar management, and first-line employee questions.
- Monitor HR compliance across six operating regions with AI-assisted checks that identify risks, highlight legal or regulatory updates, and keep entity requirements current without manual tracking.
- Develop dashboards and analytics for People and TA that provide live hiring funnel visibility, operational metrics, and actionable insights for leadership.
- Operate the HRIS, ATS, and wider People technology ecosystem as one connected, AI-enabled stack, selecting tools based on integration readiness and API-first architecture.
- Support recruiting operations through forecasting, data quality, and funnel reporting, while partnering with hiring managers to improve how hiring data is tracked and interpreted.
- Manage benefits administration and vendor relationships for the US entity, including open enrollment support, eligibility tracking automation, and usage insights that guide future benefits decisions.
- Improve employee experience across the lifecycle by identifying friction early and deploying workflows or agents before issues turn into support requests.
- Build and maintain process documentation and knowledge systems so workflows are both easy for people to understand and usable by agents.
- Work with Finance, IT, and Legal through AI-supported workflows on headcount planning, access provisioning, contracts, and policy administration.
- Help the broader People team build confidence with AI through coaching on automation, agent design, and practical use of new tools.
- Own AI governance for People, ensuring ethical, compliant use of AI tools and protection of sensitive employee and candidate information across markets.
Candidate Profile
You should bring at least 5 years of progressive experience in People Operations or HR Operations, along with some leadership or team lead exposure. Background in SaaS or another fast-growing tech environment is essential, especially if you have worked in a multi-entity global structure where operational gaps become more visible at scale.
Hands-on experience with AI tools, agent builders, and agentic workflows is central to this role. You should have personally built and maintained agents that perform meaningful operational work. Strong technical instincts are important, including comfort with APIs, integrations, automation platforms such as Zapier, Make, n8n, or similar tools, and prompt engineering.
Experience across multiple countries is strongly preferred, ideally spanning some combination of the US, UK, Australia/New Zealand, Canada, and the Philippines. You should be capable of redesigning processes from the ground up, favoring automation and scale over incremental manual fixes.
Working knowledge of US benefits administration is expected, including open enrollment, carrier management, and basic compliance concepts such as ACA and ERISA. You should also understand multi-jurisdiction HR compliance well enough to judge when AI can handle a task and when human oversight is necessary.
The role calls for strong data fluency, a systems-thinking mindset, discretion with sensitive information, high integrity, and strong EQ. A player-coach attitude is important: someone senior enough to work independently, willing to ship work themselves, and motivated to help build a growing People function.
Benefits and Perks
- International exposure across the US, Australia, New Zealand, the UK, Canada, and the Philippines
- Paid flexible time off, with an encouraged use of 3 weeks per year
- Company-paid medical coverage for you and eligible spouse/partner and dependents
- Company-paid dental and vision coverage for you and eligible spouse/partner and dependents
- Fully company-funded short-term and long-term disability insurance
- Fully company-paid life insurance
- 401(k) with company match
- Flexible Spending Account
- Up to 8 weeks of paid parental leave
- Work-from-home stipend
- Opportunity to learn from an experienced, high-performing team
- Collaborative, team-oriented culture with a focus on diversity, development, and ongoing feedback
- Strong internal growth culture with promotion of high performers from within
Compensation and Additional Information
The estimated base salary range for this position is USD 120,000 to USD 130,000 per year. Final compensation depends on factors such as location, cost of living, experience, skills, and business needs. The base salary is only one part of the overall package, which may also include a target bonus, equity for some roles, and strong benefits.
