The Office Administrative Service (OAS) department offers vital support to the Singapore office, handling coordination and liaison activities between the Head Office and other divisions. Job Location and Department

Position is located at Mizuho's Singapore Administration Department under the Office Administration section.

Key Responsibilities

  • Provide professional customer service at all times when interacting with clients.
  • Supervise mailroom operators following the Internal Operating Procedures (IOP) and Head Office Procedures (HOP).
  • Conduct security screening for all incoming mail prior to distribution.
  • Generate regular reports and promptly escalate issues to management as needed.
  • Ensure all documents are processed within designated timeframes and operational guidelines.
  • Manage outgoing mail handling, including automated and manual folding, messenger requests, and dispatch.
  • Oversee incoming mail receipt via courier and mailbox channels.
  • Dispatch Pin Mailers appropriately.
  • Review, sort, and authorize outgoing mails and courier registrations in the Flowlites system.
  • Balance outgoing mail daily.
  • Process monthly courier invoice reconciliations.
  • Coordinate fixed run and ad hoc collections with external vendors.
  • Address client feedback concerning operations within specified timeframes.
  • Maintain cleanliness and organization of the workspace continually.
  • Foster positive working relationships across all organizational levels, both internally and externally.
  • Perform additional office administration and facility management tasks as assigned by supervisors.

Qualifications and Requirements

  • Minimum completion of GCE "O" Level education.
  • At least two years of experience in mailroom operations or customer service roles.
  • Proficient with computers, especially Microsoft Office applications.
  • Good command of spoken and written English.
  • Reliable attendance and commitment to completing daily responsibilities.
  • Polite demeanor and professionalism in customer interactions.
  • Ability to thrive in a fast-moving work environment.
  • Disciplined, accountable, and a strong team collaborator.
