Job description
Role Overview
This position supports the merchandising workflow for hardgoods by coordinating with vendors, managing documents, handling samples, tracking production, and following through on shipments so that launches and deliveries happen on schedule.
Reporting Line
The role reports to the Senior Merchant / Production Manager.
Experience and Qualification
Applicants should have 1 to 3 years of relevant experience and hold a graduate degree or diploma.
Core Knowledge and Skills
The job calls for vendor coordination, document control, sample handling, production follow-up, MS Excel, MIS reporting, clear communication, strong attention to detail, and practical problem-solving ability.
Working Network
Internally, the role interacts with Category, Quality, SCM, Warehouse, Packaging, and Design teams. Externally, it works with vendors, suppliers, and testing agencies.
Documentation and Compliance
- Collect, organize, and keep up to date all product-related records, including specifications, certifications, declarations, approvals, and test reports.
- Make sure vendors submit complete and correct documentation within the required timelines.
- Track testing requirements closely and follow through until every pending item is closed.
Sample Management
- Coordinate development, production, and TOP sample movement and follow-ups.
- Share samples with the Category and Quality teams together with the required paperwork.
- Inspect, log, pack, and send out every incoming sample promptly.
- Maintain sample tracking sheets and approval records accurately.
Vendor Coordination
- Liaise with vendors on sampling, approvals, production progress, and shipment needs.
- Keep communication moving so that pending items are resolved without delay.
- Flag risks and delivery slippages early to the relevant teams.
Production Monitoring
- Monitor production milestones against agreed schedules.
- Push vendors to complete production within the committed timelines.
- Share delay updates and proposed corrective steps with stakeholders.
- Help ensure shipments are delivered on time.
Packaging and Barcode Coordination
- Arrange timely barcode printing and sharing with vendors.
- Coordinate review and release of inner carton and master carton specifications and artwork.
- Confirm that approved packaging standards are implemented.
Shipment and Warehouse Coordination
- Ensure consignments arrive at NWH according to the planned schedule.
- Check that shipment documentation is complete and accurate.
- Work with Warehouse, SCM, and vendors to enable smooth goods receipt.
