Role Overview

We are looking for a meticulous and experienced Grants & Contracts Coordinator to manage the entire lifecycle of our grants and contracts within a growing nonprofit organization with a $70 million budget. This role involves ensuring compliance, accurate reporting, and timely submission across multiple funding sources including private foundations, government agencies, and corporations, directly supporting our mission.

Key Responsibilities

  • Oversee the full grants and contracts lifecycle—preparation, submission, administration, and reporting—ensuring compliance with funder requirements, organizational policies, and industry standards.
  • Collaborate with program directors and finance teams to develop competitive grant proposals including budgets and narratives that align with program goals.
  • Monitor compliance with grant conditions, expenditure rules, and regulatory standards, managing reporting deadlines and preparing precise financial and narrative reports for funders.
  • Maintain strong and effective communication with funders, addressing inquiries and resolving issues related to compliance, reporting, and program execution.
  • Keep comprehensive records of grant documents such as applications, agreements, correspondence, and compliance reports, utilizing or developing management tools to track deadlines and finances.
  • Coordinate internally with program staff, finance, and senior leadership to ensure timely and accurate grant fund usage, monitoring financial status to adhere to budgets.
  • Assist with internal and external audit preparations by ensuring documentation is complete and complies with funding requirements.
  • Provide training and support on grant management best practices and compliance policies to program staff and other team members.
  • Perform additional related tasks as assigned.

Candidate Qualifications

  • 3 to 5 years of grant management experience, preferably within nonprofits managing diverse funding such as government grants, private foundations, and corporate sponsors.
  • Proven expertise in budgeting, financial reporting, and preparation of detailed grant reports.
  • Familiarity with complex compliance standards, including government contracts and federal regulations like OMB Circulars and 2 CFR 200.
  • Strong understanding of grant processes including proposal writing, compliance checks, and financial reporting.
  • Excellent communication skills for effective interaction with funders, program teams, and leadership.
  • Proficient with Google Suite and quick to adapt to new technologies.
  • Exceptional attention to detail and organizational skills to juggle multiple priorities and deadlines effectively.
  • Strong analytical capability to interpret financial data and ensure funding compliance.
  • Highly proactive and able to work independently as well as collaboratively in team settings.
  • Driven to achieve accurate, timely, and compliant results with sound problem-solving skills.
  • Genuine passion for supporting the organization’s mission through skilled grants management.

Preferred Skills and Experience

  • Bachelor’s degree in Nonprofit Management, Finance, Business Administration, Public Administration, or related discipline preferred.
  • Grant management certification such as Certified Grants Management Specialist (CGMS) is advantageous.
  • Experience using grant management and financial software like Foundant, Fluxx, Salesforce, Intacct, MIP, or Quickbooks is beneficial.
