Overview
A prominent healthcare organization based in Abu Dhabi is in search of a highly skilled, proactive, and organized Executive Secretary to support the Chief Executive Officer. This role involves delivering high-level administrative and executive assistance to ensure seamless daily operations, efficient communication, organized scheduling, and aligned strategic priorities.
Key Responsibilities
- Oversee and organize the CEO's calendar including appointments, meetings, and travel plans.
- Develop and prepare executive correspondence, presentations, reports, meeting minutes, and other official documents.
- Serve as the main liaison between the CEO and both internal teams and external stakeholders.
- Prioritize and manage incoming communications such as emails, phone calls, and various requests.
- Coordinate board, executive committee, and leadership meetings, including agenda planning and monitoring follow-up actions.
- Safeguard confidential records and sensitive information with utmost discretion.
- Monitor and advance key projects, deadlines, and action items on behalf of the CEO.
- Collaborate with different departments to ensure smooth business operations and effective communications.
- Prepare briefing materials and background documentation for meetings and presentations.
- Ensure adherence to company policies and administrative protocols.
Candidate Requirements
- Bachelor’s degree in Business Administration, Management, Communications, or a related discipline.
- Between 3 to 5 years of experience in senior secretarial or executive assistant roles supporting C-suite executives.
- Exceptional organizational skills, capable of managing multiple tasks and priorities effectively.
- Fluent English communication skills both written and verbal; Arabic language skills are a significant plus.
- Proficient with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Ability to manage confidential materials professionally and discreetly.
- Detail-oriented with strong analytical and problem-solving abilities.
- Prior experience in the healthcare sector is preferred.
