Role Overview
This temporary Executive Assistant opportunity supports the Office of the Vice President in Dublin 4. The assignment begins immediately and is expected to run for around 3 months, with a chance of extension or other future opportunities. The position is fully onsite and suits someone who is highly organised, discreet, adaptable, and comfortable working in a busy, collaborative environment.
Key Responsibilities
- Provide day-to-day personal assistant support to two senior leaders, including diary coordination, call handling, high-volume email management, stakeholder communication, and travel or event arrangements.
- Prepare minutes, reports, proposals, presentations, and related documentation.
- Plan and coordinate meetings and events, covering scheduling, agenda creation, supporting documents, minute-taking, room booking and setup, and tracking follow-up actions.
- Help organise events, meetings, and hospitality for senior representatives from industry and state bodies.
- Act as the main contact for internal and external stakeholders dealing with the Vice President’s Office.
- Support Unit Directors with project administration, delivery, and management tasks.
- Handle general office administration such as couriers, travel bookings, filing, records and post management, and ordering supplies.
- Assist the General Manager with procurement tasks, invoice and expense processing, and leave recording.
- Keep digital records accurate and up to date, and enter information into systems such as eprocurement, efinancials, CoreHR, and RMS.
What the Role Needs
- A minimum of 3 years’ experience in an Executive Assistant or Personal Assistant role.
- Strong written, spoken, and reading English skills.
- High levels of discretion when handling confidential or sensitive information.
- A proactive, flexible attitude and the ability to manage a varied workload effectively.
- Confidence working both independently and as part of a team, with sound judgment and strong confidentiality standards.
Working Arrangements and Offer
This is a temporary, hourly-paid position. Pay is aligned with the Senior Executive Assistant scale and is approximately €24–€29 per hour, or about €44,000–€53,000 per year equivalent, depending on experience. The role is 35 hours per week, with a standard schedule of 9:00 am to 5:00 pm and a 1-hour lunch break. It is based fully onsite in Dublin 4.
Additional Information
Applicants must already have the right to work in Ireland for the full duration of the contract, as sponsorship for a work visa is not available. The employer is looking for someone available to start immediately.
