About the Role

A prominent NYC-based investment firm, managing over $25 billion in assets under management, is looking for a dedicated Executive Assistant to provide comprehensive support to its Founder and CEO. This position is crucial for managing the CEO's demanding schedule, which typically involves coordinating 20-30 meetings daily. The role requires seamless interaction with senior leadership, investors, and board members, meticulous handling of travel arrangements and expense reporting, and proactive assistance with various special initiatives.

Key Responsibilities

  • Manage a high-volume, complex calendar for the Founder & CEO, scheduling 20-30 meetings daily.
  • Serve as a primary point of contact, liaising with senior executives, investors, and board members.
  • Coordinate all domestic and international travel logistics, including flights, accommodations, and ground transportation.
  • Process and reconcile travel and entertainment expenses accurately and efficiently.
  • Provide support for ad-hoc projects and initiatives as directed by the CEO.
  • Maintain a high level of discretion and confidentiality in all communications and tasks.

Requirements

  • A minimum of 5 years and a maximum of 15 years of experience supporting a single senior executive, preferably a CEO or Founder.
  • Proven expertise in high-volume calendar management within a demanding, fast-paced setting.
  • Exceptional organizational and time-management capabilities, with a keen eye for detail.
  • Demonstrated ability to anticipate needs and proactively address potential issues.
  • Proficiency in managing complex travel arrangements and expense reporting.
  • Comfortable working in a high-growth, entrepreneurial corporate culture.
  • Excellent communication and interpersonal skills, with the ability to interact professionally at all levels.

Additional Information

This is a full-time, onsite position located in Midtown Manhattan, requiring a 5-day in-office presence. The role offers a competitive base salary ranging from $120,000 to $150,000 annually, plus a performance-based bonus. Success in this role hinges on a positive attitude, unwavering discretion, and meticulous attention to detail.
