This position requires a polished professional who can manage a demanding executive schedule, handle sensitive information with complete discretion, and keep daily operations running smoothly in a fast-moving environment.

The role combines executive-level administrative support, project coordination, communication management, and operational follow-through. It also involves working closely with internal teams and external stakeholders, preparing high-quality materials, and helping ensure priorities, deadlines, and commitments stay on track.

Key responsibilities

  • Deliver executive-level administrative and operational support to the CHRO, with strong attention to timeliness, accuracy, and follow-through.
  • Run a complex calendar by arranging meetings, handling scheduling conflicts, prioritizing requests, and anticipating upcoming needs.
  • Coordinate travel, conferences, events, and related logistics, including expense reports, invoice handling, and other admin tasks.
  • Draft, refine, and circulate executive correspondence, presentations, reports, board materials, and business documents.
  • Support the HR Leadership Team by organizing meetings, setting agendas, tracking actions, and following through on deliverables.
  • Act as a trusted point of contact and filter between the CHRO and internal/external stakeholders, treating confidential matters appropriately.
  • Review incoming issues, requests, and correspondence, then determine the right response, escalation, or referral.
  • Keep the CHRO updated on deadlines, priorities, commitments, and upcoming discussions or presentations.
  • Assist with data review, reporting, project coordination, and tracking business commitments and outcomes.
  • Create and maintain organized systems, records, and processes that improve access to information and operational efficiency.
  • Use independent judgment to balance priorities, streamline workflows, and suggest better administrative processes.
  • Maintain dependable attendance, punctuality, and a consistent standard of high-quality support.
  • Promote a respectful and inclusive workplace that builds strong connections across colleagues, customers, and communities.
  • Perform additional related duties as assigned.

Required qualifications

  • Bachelor’s degree or equivalent related work experience.
  • At least 5 years of related experience.
  • Proven ability to support senior leaders with professionalism, judgment, discretion, and credibility.
  • Strong calendar management and prioritization skills in a high-pressure, fast-paced setting.
  • Excellent organization and detail orientation, with the ability to manage multiple priorities and deadlines.
  • Demonstrated ability to protect sensitive and confidential information.
  • Strong written and verbal communication skills for executive correspondence and presentations.
  • Experience coordinating projects, tracking actions, and driving completion of deliverables.
  • Strong problem-solving and critical-thinking abilities.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and database tools.
  • Ability to adapt quickly to changing priorities and remain effective under pressure.
  • Ownership mindset with consistent accountability and follow-through.
  • Ability to perform essential office-based job functions, including communication, collaboration, reading electronic/written information, and moving within the work environment as needed.
  • Willingness to work a flexible schedule based on department and company needs.
