About the Role

Our client, a holding company based in SouthPark, Charlotte, NC, is seeking a dedicated Executive Assistant to support their CEO. This full-time, onsite position demands a humble and devoted individual who takes great pride in providing comprehensive assistance to the CEO, managing both professional and personal responsibilities with reliability and responsiveness. The ideal candidate exhibits strong executive presence, exceptional organizational skills, and the ability to handle complex interactions and a dynamic, fast-paced schedule with meticulous attention to detail. This role requires a proactive problem-solver who thrives in an unpredictable environment and views the work as a calling rather than a traditional 9-to-5 job. Responsibilities

  • Provide unwavering support to the CEO, maintaining availability during evenings and weekends, especially during travel and across time zones.
  • Manage the CEO's demanding and frequently changing schedule, including appointments, meetings, calls, off-site events, and board commitments.
  • Act as the primary liaison for internal and external stakeholders, handling messages and inquiries with utmost professionalism and discretion.
  • Oversee incoming correspondence, emails, and phone communication, prioritizing and responding as necessary.
  • Document follow-ups, commitments, and action points from meetings to ensure their timely completion through effective project management.
  • Prepare agendas, materials, presentations, and summaries for meetings, including accurate real-time note-taking.
  • Assist with composing, formatting, and proofreading reports, correspondence, and other documents.
  • Support the planning and execution of special events such as board meetings, team retreats, and the annual Shareholder Summit.
  • Coordinate travel, scheduling, and preparations for company-wide meetings and gatherings.
  • Lead key initiatives by coordinating cross-team efforts, facilitating investor communications, and addressing portfolio-company requirements, ensuring progress continues despite the CEO's busy schedule.
  • Provide comprehensive personal assistance to the CEO across all facets of their life, including managing personal tasks, appointments, meetings, and errands.
  • Arrange personal and family travel logistics, including flights, ground transportation, and dining reservations.
  • Organize meal orders aligned with the CEO's preferences and timetable.
  • Manage home and household affairs such as vendor coordination, repairs, deliveries, and scheduling.
  • Handle real estate-related activities and associated coordination.
  • Oversee returns, purchases, online orders, and general life administration tasks.
  • Assist with family-related logistics as necessary.
  • Coordinate bill payments and correspondence with the CEO's family office, tax advisors, and partners.

Requirements

  • Bachelor’s degree is preferred but not mandatory.
  • Minimum of four years in an Executive Assistant role or a comparable position with significant responsibilities.
  • Highly motivated, resilient, and fully dedicated to matching the CEO's relentless pace and availability.
  • Flexibility to work evenings and weekends in accordance with the CEO's travel and meeting itinerary.
  • Advanced proficiency in Microsoft Office Suite, Google Workspace, email management, spreadsheets, and various business systems and tools.
  • Residency in Charlotte, North Carolina.
  • Willingness and ability to travel approximately 25–35%, including occasional weekend trips accompanying the CEO to meetings, company visits, board meetings, and events.
  • Exceptional organizational skills with a strong focus on task completion and efficiency.
  • Excellent verbal and written communication capabilities.
  • Effective time management abilities.
  • Comfortable working in a fast-moving, evolving, and growth-focused environment.
