Role Overview
We are seeking an experienced Executive Assistant Business Partner (EABP) to provide support to Vice Presidents and Directors through comprehensive administrative assistance. The ideal candidate is self-driven, professional, and adept at managing their own tasks as well as coordinating executive calendars and prioritizing workload in a dynamic environment.
Key Responsibilities
- Manage intricate and detailed calendars efficiently.
- Coordinate and arrange travel plans for executives.
- Collaborate across departments with other Executive Assistants and business partners to achieve results.
- Organize and support large meetings, off-site events, and team engagement activities.
- Maintain composure and order in hectic situations.
- Exercise initiative by taking independent decisions and demonstrating sound judgment.
- Handle information with confidentiality and uphold integrity.
- Support organizational awareness by remaining sensitive to employee needs.
- Process and reconcile expense reports for leadership.
- Update organizational charts and maintain email distribution groups.
- Understand the company’s vision, strategic direction, and mission deeply.
- Offer guidance and support to team members and colleagues with approachability.
- Initiate research and enhancement of systems and processes to improve efficiency.
Candidate Qualifications
- At least 7 years of experience providing executive-level administrative support to multiple leaders simultaneously.
- Highly proficient in advanced Outlook calendar management.
- Expert user of Microsoft Office suite (Word, Excel, PowerPoint), Windows desktop applications, and Google Workspace tools (Slides, Sheets, Docs).
- Strong organizational abilities, project management skills, and problem-solving aptitude.
- Excellent interpersonal skills with a focus on customer service internally and externally, handling issues with respect, sensitivity, and urgency.
- Professional and positive attitude with a proactive "can-do" approach.
- Able to smoothly and quickly switch between tasks while maintaining professionalism.
- Demonstrated ability to prioritize tasks effectively in a fast-paced environment without close supervision.
- Highly proactive with the capacity to anticipate needs and manage upward and downward communication to ensure timely and accurate delivery.
- Exceptional verbal and written communication skills, adaptable for all organizational levels.
- Capable of identifying business challenges and coordinating responses with key stakeholders.
- Proven track record of delivering superior service in fast-moving environments.
