Role Overview
The Events Coordinator supports the Director of Events in administratively managing the planning and flawless execution of distinguished events for a private members' club in New York City. This position ensures the event calendar is well-maintained, handles correspondence related to events, processes private event reservations, and facilitates smooth event operations—upholding the club’s standards of discretion, personalization, and excellence.
Key Responsibilities
- Assist in all stages of event planning from initial concept to post-event review, including timelines, scheduling, budgeting, and operational planning.
- Collaborate with culinary, beverage, operations, facilities, security teams, and external vendors to achieve seamless event delivery.
- Coordinate the annual schedule of member-exclusive events such as dining, networking, wellness, entertainment, and seasonal festivities.
- Manage inquiry responses, bookings for private dining and member events, corporate functions, and social gatherings.
- Conduct site tours, draft proposals, and manage logistics to guarantee exceptional guest experiences.
- Foster member relationships to tailor personalized event experiences and gather feedback for ongoing improvements.
- Organize booking and scheduling of premium vendors including entertainers, florists, production companies, while overseeing invoices, contracts, and vendor quality.
- Develop event marketing materials that reflect the club’s brand identity and luxury positioning, track attendance, and analyze performance metrics to inform future event strategies.
Qualifications
- Bachelor’s degree preferred in Hospitality Management, Event Management, Marketing, or related disciplines.
- Minimum three years of event management experience within luxury hospitality, private clubs, high-end hotels, fine dining, or premium lifestyle brands.
- Proven success managing both large and intimate upscale events with exceptional organizational and project management skills.
- Excellent interpersonal abilities, capable of building strong relationships and maintaining professionalism under pressure.
- Ability and willingness to work during evenings, weekends, and holidays according to event scheduling demands.
Preferred Background
- Experience in private membership clubs or luxury hospitality sectors.
- Familiarity with luxury food and beverage service standards.
- Proficiency in event management software and CRM platforms.
