Role Overview
The Events Coordinator supports the North American (USA and Canada) Events team by managing detailed logistics tied to retailer activations, budgets, collateral, and creative outputs. Reporting to the Director of Events, this role suits candidates early in their events career aiming to master behind-the-scenes aspects of beauty brand in-store events, especially focusing on Sephora and Ulta activations.
Key Responsibilities
- Assist in organizing major events such as Sephora Store Managers Conference and Ulta Beauty World, overseeing timelines, run of shows, and deadlines.
- Manage on-site event logistics including shipment coordination, venue setup, staffing, credentials, and resolving day-of issues.
- Handle full lifecycle purchase orders and vendor payments, ensuring accuracy and timely processing while maintaining strong vendor relations.
- Maintain budget tracking tools with real-time updates for reconciliation with Finance.
- Source and evaluate new vendors to enhance event experiences and manage associated documentation.
- Support internal company events such as the National Sales Conference by managing attendee logistics, venue sourcing, and on-site execution.
- Oversee merchandise and non-beauty item programs, event kit production, and distribution in collaboration with creative teams.
- Prepare and manage creative briefs and deliverables for event materials, monitor industry trends, and maintain organized asset libraries.
Candidate Profile
- Possesses 1-3 years of experience in events, marketing, or retail, preferably within beauty or luxury sectors; internships considered.
- Previous exposure to Sephora and Ulta environments is advantageous.
- Highly skilled in Microsoft Outlook, Excel, and PowerPoint; familiarity with Asana, Concur, NetSuite, Eventbrite, or Cvent is a plus.
- Exemplary organization, detail orientation, and multitasking abilities in dynamic settings.
- Excellent verbal and written communication skills for collaboration across varying organizational levels.
- Willingness to travel in North America and work occasional weekends or evenings to support event success.
- Capability to assist with physical setup and teardown during events.
Compensation & Benefits
