Role Overview

This position is designed for a strong operator who can spot the highest-impact problems, create practical solutions, and personally drive execution from start to finish. You will work closely with the founders to shape strategy and build the operational foundation needed for the company’s next stage of growth. The role calls for a hands-on leader who can manage people while staying close to day-to-day execution and fixing issues directly when needed.

What You Will Do

In this role, you will own multiple critical operational areas, including matching students with counselors, improving customer operations, scaling counselor supply, handling escalations, and strengthening internal systems.

Student-Counselor Matching and Customer Operations

  • Take full ownership of the student-to-counselor matching workflow, improving it for speed, quality, and scale while remaining close to complex cases.
  • Develop and refine rules-based processes in HubSpot that cut down on manual work without losing the human judgment needed for successful matches.
  • Set up tracking so the process is measurable, transparent, and continually improving.

Counselor Supply Engine

  • Lead the hiring, onboarding, and quality oversight of the company’s global counselor network while setting the standard for performance.
  • Manage high-volume recruitment pipelines and maintain a rigorous hiring bar.
  • Build the systems needed to grow counselor supply without reducing quality, and regularly review those systems for effectiveness.

Customer Escalations and Support

  • Run the escalation team while staying involved in the toughest customer situations yourself.
  • Create SOPs, escalation protocols, and feedback loops that turn short-term fixes into long-term improvements.
  • Own performance metrics such as NPS, CSAT, and refund rates, and lead changes when the data signals a problem.

Operational Systems and Infrastructure

  • Own HubSpot end to end, including its structure, workflows, automations, data cleanliness, and reporting.
  • Decide what should be automated and what should stay high-touch, then connect both into a workable system.
  • Build documentation and operating infrastructure that can scale beyond any individual team member.

Cross-Functional and Strategic Work

  • Work with founders and leaders across Sales and Marketing on new service launches, taking responsibility for planning and execution.
  • Bring clarity to ambiguous problems and favor implementation over prolonged discussion.
  • Identify what needs to change and leave with clear ownership for making it happen.

What the Company Is Looking For

The ideal candidate has 5–8 years of experience in strategy, operations, consulting, or a fast-growing startup, with a strong record of turning analysis into action. You should have built processes, systems, or workflows that have been used in production, and you should be comfortable leading while remaining close to the details that affect results. Hands-on CRM experience, especially with HubSpot or a similar platform, is important. Experience in consulting, investment banking, strategy, or marketplace/service operations is a strong advantage. The role also requires comfort with ambiguity, a bias toward action, and a low-ego, high-standards mindset.
