Job description
Position Overview
This role is responsible for delivering clerical and administrative assistance to school guidance personnel and administrators, primarily focusing on maintaining and updating student records and attendance data. The individual will utilize the school's district software to perform data entry, compile reports, and analyze information, as well as handle specialized projects that support the smooth functioning of school operations.
Key Duties and Functions
- Deliver prompt and courteous customer service to internal and external stakeholders, representing the school district positively.
- Input and update student information, including demographics, immunizations, schedules, disciplinary actions, and teacher assignments, into the district's computer system.
- Assist with the Full-Time Equivalent (FTE) process: review policies, analyze, evaluate, and edit reports, and advise administrators on FTE matters.
- Support the Exceptional Student Education (ESE) placement specialist with administrative tasks such as preparing agenda and distributing materials, and resolving discrepancies.
- Act as a backup for registrars or other administrative office staff as needed, including preparing and circulating master schedules.
- Assist school administrators, such as the Principal, with various clerical tasks, including reviewing and amending class rolls, crafting correspondence to parents about student immunizations and address confirmation, and handling mailings.
- Maintain and safeguard student records and files, ensuring information remains up-to-date and confidential.
- Operate office equipment commonly found in a school environment, such as computers, typewriters, copiers, and fax machines.
- Receive ongoing training in new technologies relevant to the role and stay current with required skills and software updates.
- Ensure all data maintained as part of the job is accurate and timely.
- Contribute to special projects as assigned by school administration.
Additional Information
- Occasionally perform tasks outside the core role, as directed by management.
- Tasks may involve minor physical activities such as lifting lightweight items or spending extended periods at a workstation.

Required Training and Experience
- High school diploma or equivalent (GED) is mandatory.
- At least one year of relevant experience in clerical work or recordkeeping, or any comparable combination of education and hands-on experience.
Performance Abilities
- Accurately compute, tabulate, and report data for school records and operational needs.
- Effectively exchange information with staff, students, and parents, adhering to established policies and providing clear explanations.
- Proficiently handle and operate standard office equipment and computer software applicable to school records processing.
- Perform mathematical operations as required in daily tasks.
- Carry out instructions provided in various formats, and exercise initiative and judgment when dealing with changing priorities.
Work Environment Details
