Job description
Position Overview
We are looking for a well-organized and proactive Agent Assistant to join a busy TV and Film agency on a short-term basis. This role offers an excellent chance to gain substantial practical experience in a dynamic, creative setting, with the potential for future cover opportunities.
Primary Responsibilities
- Handling client enquiries promptly and professionally.
- Managing the client email inbox efficiently.
- Generating invoices; familiarity with Bradbury Phillips software is advantageous but not mandatory.
- Monitoring and tracking invoices to ensure timely payments.
- Following up on overdue payments from clients.
- Setting up and maintaining automated client email responses.
- Updating the agency’s website as required.
- Producing and scheduling social media content.
- Composing pitch documents including toplines, biographies, and emails.
- Providing assistance with various office duties, such as mail runs, greeting visitors, answering calls, and maintaining kitchen areas.
- Updating client diaries regularly.
- Distributing call sheets and travel documents to clients.
- Sending contracts via DocuSign, tracking their progress, and organizing completed agreements.
Candidate Requirements
- Immediate availability with no required notice period.
- Previous experience in an administrative or assistant capacity; experience in an agency or the entertainment sector is preferred but not mandatory.
- Excellent organizational skills with close attention to detail.
- Ability to juggle multiple tasks and prioritize effectively, especially under pressure.
- Confident and professional telephone communication skills.
- Proficiency in Microsoft Office suite including Word, Excel, and Outlook.
- Discreet, dependable, and capable of handling confidential information appropriately.
- A genuine enthusiasm and interest in the TV and Film industries.

Duration: 2 weeks with the possibility of further cover work following this period.
