About Oaks Christian School and Position Overview
The Elementary Assistant to the Principal for Grades TK–3 plays a crucial role in supporting the principal by managing key operational and administrative tasks that enable smooth functioning of the elementary division. This full-time, on-site, non-exempt position spans 12 months and is classified as Category 4. Collaboration is a core element, particularly with the Elementary Front Office Assistant and Assistant to the Middle School Principal.
Key Responsibilities
- Assist the TK–3 Principal in daily divisional operations and develop efficient procedures and workflows tailored for a growing division.
- Manage communication among the administration, teachers, and families to maintain effective information flow.
- Organize and maintain calendars using Airtable, coordinating meeting schedules and ensuring all event details are accurate and accessible.
- Coordinate budgeting and purchasing processes for classroom and office supplies, reconcile expenses accurately, and maintain budget records with ongoing updates.
- Oversee substitute teacher scheduling using the EZ Sub system, ensuring timely confirmation and preparation of necessary materials.
- Provide administrative support to faculty and staff in TK–3 and middle school, including coordinating meetings and assisting with logistical needs.
- Manage student services such as enrollment, onboarding, attendance records, and classroom placements while safeguarding confidentiality.
- Support the TK–8 Principal with administrative tasks including scheduling and special projects as assigned.
- Participate in strategic initiatives to establish sustainable operational structures and communication workflows for the new division.
Required Qualifications and Skills
- Minimum of a high school diploma or equivalent; associate or bachelor’s degree preferred.
- Previous experience in school administration or as an executive assistant is strongly desired.
- Proficient in budget management, expense reconciliation, and financial record keeping.
- Experienced with Microsoft Office Suite, Blackbaud (AXIS), Airtable, Emburse (COMDATA), or related expense tracking software.
- Strong communication abilities both written and oral, coupled with excellent organizational and time-management skills.
- Capable of handling sensitive information with discretion and maintaining confidentiality.
- Availability for occasional early-morning and evening duties related to substitute coordination or school events.
Working Conditions
This role is based on-site with full-time, year-round responsibilities. The environment is dynamic and demands multitasking and calm execution under deadlines. Close collaboration with various school departments, including the Business Office and faculty, is routine.
