Job description
Role overview
This position is located at HM Prison Woodhill in Milton Keynes (MK4 4DA). The role sits within a group profile that supports managers and frontline teams through transactional administrative work. It is a non-operational post, and depending on the area assigned, it may include contact with prisoners. There are no line management duties attached to this role.
The post is rotational, so once appointed, the successful candidate may be placed into a variety of administrative job descriptions during their career. Examples include roles across activity, business, employment, equality, mobilisation and transformation support, resettlement, healthcare, management coordination, offender management, people services, digital services, programmes, psychology, chaplaincy, safer custody, security intelligence, social and palliative care, substance misuse, and ID and banking support.
Key duties
- Keep accurate records organised, updated, and available for the area of work.
- Serve as the main contact for incoming communication, sorting and passing it to the right person or department.
- Prepare monitoring returns for the relevant area.
- Raise requisitions through the finance system and process them for the assigned function.
- Arrange awareness sessions and related coordination tasks.
- Prepare documents for managerial review and complete initial checks where needed.
- Work with stakeholders and partner agencies to make sure information is shared appropriately.
- Maintain databases, paper filing systems, and information logs, meeting agreed deadlines and producing reports when required.
- Gather information linked to Service Delivery Indicators (SDIs).
- Provide secretarial support to meetings, including agendas, minutes, and action points.
Skills and behaviours assessed

Security and vetting
Appointment is subject to a criminal record check and the required security clearance. The security level needed is counter-terrorist check. Anyone handling government assets must also complete baseline personnel security standard checks.
Nationality and eligibility
This role is broadly open to UK nationals, Irish nationals, eligible Commonwealth nationals, certain EU/Swiss/Norwegian/Icelandic/Liechtenstein nationals and their family members with settled or pre-settled status or a valid EUSS application, people with limited or indefinite leave to remain who could apply for EUSS on or before 31 December 2020, and Turkish nationals and eligible family members who have gained the right to work in the Civil Service.
