Overview

This role demands a candidate who demonstrates exceptional communication abilities, initiative, and effective prioritization of daily tasks within a junior administrative capacity. The position is based primarily in-office with one day remote in the Brickell area of Miami, FL (zip code 33131).

Key Responsibilities

  • Provide direct administrative support to an Executive Vice President, including diverse administrative duties.
  • Manage and coordinate active calendars for executive-level leadership, handling both business and personal scheduling needs.
  • Organize and maintain documentation such as receipts and supporting materials.
  • Place orders for miscellaneous supplies through vendor accounts or other necessary purchases.
  • Handle email communications and correspondence with both internal stakeholders and external partners.
  • Engage with vendors concerning business and personal matters on behalf of the executive.
  • Perform office errands such as banking and mail courier pickups as needed.
  • Prepare expense reports, travel reimbursements, and credit card submissions efficiently.
  • Support special projects which may include research, presentation preparation, and other tasks as required for meetings.

Qualifications

  • Experience managing an active calendar for executive-level personnel is essential.
  • A Bachelor's degree, preferably in Business Administration or a related field, is favored.
  • Fluency in English with strong written and verbal communication skills is required.
  • Proficiency with Microsoft Office applications is necessary.

Compensation and Benefits

  • Salary range from $65,000 up to $70,000 with potential to reach $75,000.
  • Eligibility for a discretionary bonus up to 10%.
