Role Overview
This position is an exceptional opportunity for a seasoned Executive Assistant who excels as a key gatekeeper and trusted right hand. The role involves broad organizational exposure, engagement with senior stakeholders, and progressively strategic responsibilities such as overseeing projects, operational initiatives, and special assignments. Core Responsibilities
- Efficiently manage complex and dynamic calendars, balancing priorities to ensure executives focus on high-impact tasks.
- Coordinate meetings spanning multiple time zones, prepare meeting materials, agendas, and ensure follow-up on action items.
- Act as a trusted liaison between senior leadership and both internal and external stakeholders.
- Handle detailed domestic and international travel logistics including flights, hotels, transportation, and itinerary planning.
- Monitor critical deadlines, priorities, and deliverables to ensure essential initiatives are completed.
- Support client meetings, executive visits, and various special events throughout the year.
- Assist in expense reporting, administrative operations, and special project coordination.
- Collaborate closely with leadership and the wider administrative team to promote efficiency and seamless execution.
Qualifications and Experience
- Must possess a bachelor's degree.
- Minimum of three years' experience as an Executive Assistant supporting senior executives or leadership teams.
- Demonstrated ownership of responsibilities, long-term partnership building, and consistent follow-through on key initiatives.
- Adaptability and sound judgment to handle shifting priorities with professionalism and a service-focused approach.
- Committed to growing alongside the organization and partnering long-term with executive leadership.
- Resourceful and proactive with comprehensive local knowledge of New York City to provide insights, client coordination, and serve as a reliable local expert.
