Job description
Role overview
This Administrative Support position sits at the heart of the Primary and Community Care Academy team. The Academy delivers multidisciplinary education and training for Primary Care, Community Services, and the Complex and Long-Term Care Division. Although the role is administration-focused, it supports a broad mix of projects and activity, giving the postholder the chance to contribute directly to the development of colleagues and to better patient care across Gwent.
Key duties
- Deliver a thorough administrative and coordination service so the Academy operates efficiently, with careful planning, good organisation, strong collaboration, and the ability to reprioritise work as new needs arise.
- Use learning management and course-booking systems to coordinate development programmes, track attendees, and produce reports.
- Support a small cross-functional team that manages the shared access email inbox, ensuring queries are answered promptly and professionally.
- Work with internal staff, departments, and external training providers to arrange workshops and confirm attendance.
- Maintain information databases and communicate with relevant stakeholders as needed.
- Strengthen record management by preparing registers, reconciling attendance, and producing reports for different learning activities.
- Collaborate with the Academy team to design and organise learning programmes.
- Handle procurement requisitions through the Oracle system.
- Arrange, organise, and support meetings for the Primary and Community Care Academy.
Additional information
Applications are welcomed from people with protected characteristics, including disabled and neurodiverse candidates, as well as those from the Armed Forces Community. Welsh-language applications are encouraged and will be treated equally to English applications.
If you need adjustments or support to take part in the recruitment process, you are encouraged to discuss this with the recruiting manager whose contact details appear in the advert. You do not need to share personal or medical details; just explain what support would help you participate fully. If you need documents in a larger font or another format such as braille, contact the recruiting manager or the Aneurin Bevan University Health Board recruitment team on 01495 745805 option 3 or email abb.vacancyrequests@wales.nhs.uk.
If you are shortlisted, communication will be sent to the email address used in your application, so it should be checked regularly. Successful candidates will receive their conditional offer and information pack by email.
The Health Board may close the vacancy early, so applying sooner rather than later is recommended. The post may also be withdrawn if it is filled through the internal redeployment process.
