About the Role

A prominent financial services company based in Dublin is looking for a proactive and self-driven Administrative Assistant for a six-month temporary contract. This role supports the Office Manager and the broader team within a well-established organisation that is part of a global network, ensuring a professional and collaborative work environment.

Key Responsibilities

  • Provide comprehensive administrative assistance throughout the Dublin office.
  • Handle incoming and outgoing mail and coordinate courier services.
  • Manage invoice and expense processing via Concur software.
  • Monitor and restock kitchen and stationery inventory.
  • Enhance visitor experience by notifying security, greeting guests, and delivering a professional reception.
  • Assist with desk allocation and manage access card arrangements for visitors and new employees.
  • Support the planning and implementation of employee engagement initiatives and office events including social gatherings, Lunch & Learn sessions, and seasonal celebrations.
  • Help track and manage the annual engagement calendar and associated budget.
  • Provide support for monthly health and safety compliance checklists alongside the Executive Assistant and Office Manager.

Candidate Profile

  • Excellent organisational and time management capabilities.
  • Proficient in Microsoft Office suite, with a focus on Word, Excel, and PowerPoint.
  • Strong written and verbal communication skills.
  • Meticulous attention to detail and ability to juggle multiple tasks efficiently.
  • Professional and proactive work ethic.
  • Preference given to candidates with an interest or experience in AI applications and previous administrative experience in financial services.
