Role Overview

We are searching for a meticulous, organized, and service-oriented professional to handle daily artist support, customer service, and music operations tasks. This individual will manage incoming requests from artists and storefront clients, in addition to routine music administration duties like PRO registrations, Direct License Notices, metadata updates, document management, reporting, and assorted operational projects.

Key Duties

  • Handle incoming support inquiries from artists, labels, and customers, including organizing A&R emails and responding to general queries using templates and FAQs.
  • Assist artists with account setup, profile modifications, document submissions, and following up on missing details.
  • Support storefront customers on inquiries about subscriptions, downloads, licenses, invoices, and account management.
  • Escalate complex issues involving technical, legal, royalty, rights, billing, sales, or creative matters to appropriate team members.
  • Monitor recurring support issues and contribute to enhancing FAQs, templates, and support procedures.
  • Assist with PRO registrations and prepare related metadata.
  • Support music delivery workflows by managing metadata preparation and tracking deliveries.
  • Compile and send Direct License Notices to PROs and partners as required.
  • Maintain accurate records of artist, track, rights, and metadata information in internal systems.
  • Update CMS content, clean metadata, and manage catalog administrative projects regularly.
  • Organize artist materials including lyrics, artwork, bios, agreements, and other essential documents.
  • Support document filing, naming, tracking, and internal record-keeping duties.
  • Help prepare, verify, and organize data and reports related to royalty and administrative workflows.
  • Offer administrative support to Operations, Catalog, Artist Relations, Accounting, Marketing, Sales, and Technology departments as needed.
  • Extract, review, and organize information from spreadsheets, CMS exports, customer support tools, and internal software.
  • Maintain trackers, task lists, ticket queues, and recurring workflows current and organized.
  • Assist with special projects including research, data cleanup, reporting, file management, and documentation of workflows.

Experience Requirements

  • Previous roles in administrative, customer service, operations, or music administration support.
  • Proficiency with Google Workspace and/or Microsoft Office applications.
  • Solid skills in spreadsheet management including sorting, filtering, basic formulas, data cleaning, and tracking.
  • Strong written communication capabilities.

Preferred Qualifications

  • Background in music licensing, publishing, sync, royalties, catalog management, or digital media.
  • Knowledge of PROs, metadata standards, Direct License Notices, rights management, or artist portals.
  • Experience with customer support or ticketing platforms.
  • Familiarity with CMS, CRM, Jira, ClickUp, Airtable, or comparable tools.
  • Comfort with AI tools for drafting, organizing, summarizing, or enhancing support/admin workflows.
  • Basic experience with accounting, royalty processing, or reconciliation support.
