Overview
The University of Nevada, Las Vegas (UNLV) is seeking an Administrative Assistant 4 to provide comprehensive administrative support to faculty in the College of Sciences Dean's Office. This fully on-site role at the UNLV Maryland campus involves financial grant management, human capital management support, budget and expense reconciliation, and support for faculty hiring and visa documentation processes.
Key Responsibilities
- Manage grant-related administrative tasks including pre- and post-award financial tracking, budget analyses, and expense reconciliation.
- Support hiring and termination of temporary employees and assist with visa document preparation for foreign researchers in coordination with the Office of International Student and Scholar Compliance.
- Assume office management duties and act as liaison for Department Chairs or School Directors during staff absences, ensuring timely completion of business processes and communication with various university departments like HR, Payroll, Enrollment Services, Registrar, and Provost's Office.
- Utilize platforms such as Workday, MyUNLV, Archibus, Microsoft Office, and SalesForce to manage data, prepare analytical enrollment and financial reports for forecasting purposes.
- Train other classified staff and students on front office operations.
- Oversee purchasing and accounting functions while applying UNLV guidelines for procurement, payment processing, and reimbursements.
- Monitor budgets and analyze departmental accounts, managing expense appropriateness across various fund types including state, special fee, gift, and grant funds.
About the College of Sciences
The College serves around 3,000 students offering bachelor's, master's, and doctoral degrees across four departments and one school. With roughly 130 full-time faculty, the College offers a diverse curriculum blending scientific principles with practical knowledge across 10 majors and 7 minors.
Minimum Qualifications
- High school diploma or equivalent.
- Four years of progressively responsible experience in administrative or program support roles, including duties such as providing administrative assistance to management, secretarial tasks, communication coordination, staff supervision, and information research; or one year experience as an Administrative Assistant III in Nevada state service; or equivalent combined education and experience.
Preferred Qualifications
- Previous experience in higher education settings.
- Ability to multitask effectively in a dynamic, fast-paced environment.
- Familiarity with Workday, PeopleSoft, Microsoft Office Suite, and project management, with demonstrated aptitude to learn new software systems.
- Experience supervising staff.
Compensation and Benefits
Salary is set at Grade 29 Step 1, equating to $50,153.76 annually.
