Role overview
This position sits at the center of day-to-day business support, combining administration, customer service, workforce coordination, compliance tracking, and logistical assistance. You will serve as a primary contact for employees, customers, and suppliers, helping ensure that communication, records, and operational workflows run smoothly and professionally. The role reports to the Operations & Branch Manager and is based at the Mountrath branch in County Laois.
As the business develops, the scope of the role is expected to widen, creating room to take on additional duties over time.
Key responsibilities
- Handle incoming calls, route them appropriately, and provide a polished and supportive first point of contact.
- Receive customer orders by phone, email, and other channels, and process them throughout the week.
- Keep daily attendance records up to date, note absences, maintain attendance reports, and ensure information is accurate in HR or workforce systems.
- Coordinate annual leave calendars and track leave balances for staff.
- Oversee maintenance planning, repairs, and compliance paperwork for the company vehicle fleet.
- Arrange scheduled upkeep for forklifts, fire alarms, emergency lighting, and other essential equipment.
- Prepare new customer orders before stock picking and pass them to the warehouse picker.
- Maintain records for staff training, PPE, and health and safety documentation.
- Organise onboarding and induction for new hires, making sure all required paperwork is completed.
- Support purchasing and logistics by preparing requisitions for incoming goods and inter-branch transport, and by chasing outstanding orders.
- Manage documentation for the weekly delivery received from head office.
- Take on additional tasks as needed as the role grows with the business.
Skills and competencies
The role calls for strong organisation, confident communication, high attention to detail, practical problem-solving, and comfort using email, spreadsheets, HR or timekeeping systems, and general office software. You should also be able to work discreetly with sensitive information and collaborate effectively with colleagues across departments.
Experience and qualifications
Experience in administration, operations, or coordination is preferred, with 1 to 3 years being the ideal range. Familiarity with HR systems, timekeeping software, or workforce management tools would be an advantage, as would exposure to health and safety records, training documentation, logistics, goods-in processes, or order handling. Any prior involvement with basic accounts or invoicing would also be useful, as those duties may be added later.
