Role Overview
The Business Development Administrator provides crucial administrative and coordination support to the Business Development team, ensuring smooth execution of pre-qualification submissions, database management, and communication with clients and internal teams. This position is integral to fostering business growth by maintaining high-quality documentation, timely submission of materials, and effective data management.
Key Responsibilities
- Maintain and update the Business Development Department Hub (BDD Hub).
- Prepare and submit pre-qualification questionnaires, presentations, and related documentation.
- Conduct research to gather client contact details to ensure Depa Interiors is shortlisted for projects.
- Ensure all pre-qualification documents meet the highest quality and compliance standards before submission to clients.
- Follow up with clients to confirm shortlisting status and receipt of tender documents.
- Enter all project leads in the Gate 1 system and submit Gate 1 reports to the Finance team.
- Maintain an up-to-date client database covering project owners, developers, project management, consultants, and main contractors.
- Keep standard pre-qualification materials and company profiles current and updated.
- Prepare and submit quality objectives to the QA/QC department.
- Manage timely registration of pre-qualifications and maintain lead logs.
- Coordinate event dates such as awards nights (CID, Big Projects Awards, etc.) and assist in preparing presentations and questionnaires for these events.
- Create and maintain databases of prospective clients, leads, pre-qualification data, and all other business development records.
- Develop informative presentations consistent with company guidelines and capability statements.
- Update the company Gate system and ensure document control for all business development administrative files.
- Complete pre-qualification questionnaires, expressions of interest, regret letters, and other relevant business development correspondence.
- Prepare all Oracle system forms as per company delegation of authority (DOA) procedures.
- Arrange and organize meetings and appointments, including calendar management for conferences, all-hands events, and holidays.
- Categorize tenders into A, B, or C categories.
- Organize and coordinate tender kickoff meetings with involved departments and tender review meetings for category A tenders.
- Track tenders, presentations, and pre-qualification submissions accurately.
- Manage marketing, branding, awards events, and presentation materials.
- Support the Business Development Department with all activities and tasks.
- Perform data entry duties related to gates and registers for clients and leads.
- Prepare letters, expressions of interest, regret letters, and arrange meeting documentation as required.
Qualifications and Experience
Candidates should have a degree or diploma in Marketing, E-Commerce, Public Relations, or a related field. The role requires 4 to 9 years of experience in a comparable role, preferably within the public relations industry.
