Role overview

The Hospitality Services Officer will oversee workplace hospitality activities across the company, including pantry operations, catering coordination, meeting-room refreshments, executive hospitality, and supplier performance management. The position is focused on delivering a polished, reliable experience for employees, guests, senior leaders, and VIP visitors while keeping operations efficient, cost-conscious, and aligned with hygiene, safety, and quality standards.

Hospitality operations

  • Run day-to-day pantry and hospitality services across the organization’s office locations.
  • Keep pantry areas stocked, tidy, well arranged, and fully functional.
  • Set and maintain service standards for hospitality across all offices.
  • Arrange hospitality support for meetings, workshops, board sessions, executive gatherings, and company events.
  • Ensure the service experience consistently reflects a premium corporate image.

Catering coordination

  • Handle catering arrangements for internal meetings, training programs, corporate functions, and VIP visits.
  • Work with approved catering vendors to make sure delivery is punctual and service quality remains strong.
  • Assess menu options and suggest changes that better support employee wellbeing and dietary needs.
  • Make sure food quality, presentation, and service delivery match corporate expectations.
  • Address service gaps and put corrective measures in place when needed.

Vendor and contract management

  • Manage catering and hospitality providers in line with contracts and service level agreements.
  • Carry out regular supplier reviews and track performance against key metrics.
  • Support procurement tasks such as quotations, purchase requests, and invoice checks.
  • Assist with contract renewals, tender reviews, and vendor onboarding activities.

Pantry management

  • Track pantry stock, consumables, beverages, and other supplies.
  • Forecast usage patterns and replenish items before shortages occur.
  • Reduce wastage through disciplined inventory control.
  • Ensure pantry equipment is serviced and maintained as needed.

Executive and VIP hospitality

  • Coordinate hospitality for executive leadership, Board members, dignitaries, and overseas delegations.
  • Maintain executive lounges, meeting rooms, and reception hospitality at a very high standard.
  • Support protocol requirements during VIP visits and formal events.

Financial management

  • Monitor hospitality and catering spending against approved budgets.
  • Check supplier invoices and confirm service completion before payment is released.
  • Identify practical ways to reduce costs without lowering service quality.
  • Prepare regular reports on budget use and operational performance.

Compliance and quality assurance

  • Ensure all hospitality work follows food safety rules, hygiene standards, and HSE requirements.
  • Inspect pantry areas and catering operations on a routine basis.
  • Create and maintain procedures and guidelines for hospitality operations.
  • Follow internal procurement rules and governance requirements.

Continuous improvement

  • Gather employee feedback on hospitality services and use it to improve delivery.
  • Recommend new service ideas and hospitality enhancements.
