About the Role
The WGOS Referral Officer will be responsible for providing comprehensive administrative and clerical support to the Primary Care Contracting Team within the Primary Care and Communities division. The position involves managing virtual review outcomes, handling waiting lists, coordinating follow-up appointments with Primary Care Optometrists, and performing various discharge-related administrative tasks. This role plays a crucial part in referral audits and requires coordination with the Contracts Manager, Optometric Advisor, and colleagues in both primary and secondary care settings.
Key Responsibilities
- Manage patient discharge processes for those eligible under WGOS.
- Maintain regular communication with the Contracts Manager.
- Assist in conducting monthly audits ensuring patient appointments comply with set deadlines.
- Coordinate the discharge of patients to assigned WGOS providers.
- Maintain an efficient telephone service for the team and stakeholders.
- Collaborate with WGOS providers to reduce last-minute cancellations and optimize appointment availability.
- Collect and analyze data concerning referrals and patient wait times.
Qualifications and Experience
- Essential: Level 3 NVQ in Business Administration or equivalent relevant experience.
- Essential: Proven experience managing waiting lists, patient bookings, and Referral to Treatment (RTT) targets.
- Desirable: ECDL certification or equivalent.
- Desirable: Familiarity with WPAS/CWS systems.
Skills and Attributes
- Strong computer literacy and understanding of administrative procedures.
- Excellent communication skills with the ability to collaborate effectively with managers, clinicians, and multidisciplinary teams.
- Ability to empathize and communicate sensitively with patients regarding treatments.
- Strong organizational skills with the ability to prioritize, meet deadlines, and take initiative.
- Demonstrated commitment, enthusiasm, and approachable demeanor.
- Ability to manage difficult situations under pressure and problem-solve while meeting targets.
Work Environment and Additional Information
This is a fixed-term contract until 31 March 2027, covering service needs. The post holder will be based at Aneurin Bevan University Health Board’s facilities in Newport, Wales, working onsite.
