Role Overview

This position is for an Onboarding and Compliance Specialist based in Hyderabad, India, working from the office. The role supports US-based hiring and contractor operations by managing onboarding, compliance checks, documentation, and process adherence. It is a full-time role that works from 9:30 PM to 6:30 AM PST. The position reports to the VP of Operations and/or the HR Manager and sits within the Human Resources / Compliance function.

The ideal candidate will be highly organized, detail-oriented, and comfortable working in a fast-moving IT services environment. A strong understanding of US employment regulations, staffing workflows, and compliance practices is important for success in this role.

Key Responsibilities

  • Handle the complete onboarding cycle for new hires by collecting documents, validating records, coordinating background checks, and making sure all legal steps are completed.
  • Work with IT, HR, and Legal teams to arrange equipment, system permissions, and introductions needed for new team members.
  • Create, update, and maintain onboarding materials for employees, contractors, and consultants.
  • Run new hire orientation sessions so employees understand company policies, culture, and compliance expectations.
  • Keep employee records accurate, complete, and aligned with US legal and industry requirements.
  • Track changes in federal and state labor laws in the US and apply updates to HR practices as needed.
  • Coordinate compliance checks for IT staffing and consulting assignments, including I-9 verification, E-Verify, and tax documentation.
  • Partner with legal and operations teams to confirm that contractors and vendors meet all contractual and compliance obligations.
  • Maintain current files for employee documentation, compliance certificates, and other important records.
  • Support audits and reporting related to employee files, immigration paperwork, and certifications.
  • Safeguard confidential and sensitive information in line with privacy requirements such as GDPR and CCPA.
  • Assist with visa and work authorization processes, including H-1B and L-1 cases, and ensure filings are completed on time.
  • Coordinate with immigration attorneys and outside agencies for work permit and visa-related matters involving non-US employees.
  • Review onboarding workflows regularly and suggest improvements that increase efficiency, employee experience, and compliance accuracy.
  • Build and refine internal compliance checklists and procedures to take a proactive approach to risk prevention.
  • Deliver compliance training to employees, managers, and contractors.
  • Serve as the main contact for compliance questions and issues raised by employees or management.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, or a related discipline.
  • At least 3 years of experience in onboarding and compliance, preferably in IT services or another fast-paced environment.
  • Strong knowledge of US employment laws and regulations, including FLSA, ADA, and EEOC standards.
  • Prior exposure to immigration and visa processes such as H-1B and L-1 is strongly preferred.
  • Understanding of IT staffing and consulting workflows will be an advantage.
  • Excellent organizational ability with careful attention to detail.
  • Strong spoken and written communication skills.
  • Ability to manage multiple priorities in a dynamic, high-pressure setting.
  • Comfort using HRIS platforms, Microsoft Office, and related business tools.
