Role overview
The S2P Systems Administrator Team Lead will own the daily administration, governance, support, and continuous improvement of the company’s Source-to-Pay platform, with the main focus on Zycus. The role leads a team of S2P System Configuration Administrators and acts as the central coordination point for platform operations, issue handling, release readiness, stakeholder communication, and process improvement across procurement functions.
This position works closely with Procurement, Accounts Payable, Sourcing, Contracting, Vendor Management, IT, ERP teams, and external vendors to keep the platform stable, scalable, compliant, and aligned with business requirements. It also drives adoption, service quality, team capability, and enhancement prioritization across the S2P ecosystem.
Key responsibilities
- Guide and supervise the S2P administration team by assigning work, setting priorities, and tracking performance.
- Manage daily administration of the Zycus S2P platform, including workflows, approvals, notifications, templates, master data, and configuration consistency.
- Act as the main escalation contact for difficult system issues, major incidents, integration problems, supplier enablement challenges, and cross-functional process gaps.
- Own ticket triage, enhancement intake, and workload prioritization to support timely resolution and clear stakeholder communication.
- Lead planning and coordination for S2P initiatives, including roadmaps, timelines, Gantt tracking, cross-functional deliverables, and monthly leadership updates.
- Work with business and technology stakeholders to convert operational needs into system changes, configuration updates, and support actions.
- Oversee configuration changes across test and production, making sure documentation, testing, approvals, and change control are completed properly.
- Evaluate and approve functional design suggestions, configuration choices, and process changes for scalability, alignment, and compliance.
- Support supplier onboarding, supplier enablement, catalog strategy, punchout setup, hosted catalogs, cXML readiness, and related problem solving.
- Coordinate with IT, middleware, ERP, and third-party partners to troubleshoot integrations and resolve interface defects.
- Review vendor release notes, assess business impact, coordinate regression testing and UAT, and prepare the organization for platform changes.
- Define and maintain operating procedures, support standards, documentation practices, and governance controls for the S2P platform.
- Ensure platform data quality through uploads, reconciliations, master data governance, validations, and preventive controls.
- Track operational performance indicators such as ticket volumes, resolution time, adoption, supplier onboarding turnaround, invoice exceptions, requisition cycle times, and catalog use.
- Prepare KPI reports, issue summaries, operational updates, and improvement recommendations for reviews with business and leadership teams.
- Drive ongoing improvement in automation, standardization, user experience, policy compliance, and cycle-time reduction across S2P processes.
- Make sure the platform and related processes meet internal controls, audit requirements, data privacy rules, security policies, and segregation-of-duties standards.
- Manage role-based access, approval hierarchy governance, and periodic access reviews with business and audit teams.
- Support change management through communications, training planning, readiness activities, and adoption support for system or process changes.
- Coach team members through knowledge sharing, training, quality checks, and performance feedback to build a strong support team.
- Maintain effective relationships with Zycus and other technology vendors, raise recurring issues, advocate for enhancements, and stay informed on product direction and best practices.
- Contribute to procurement systems roadmap planning by identifying opportunities for optimization, module growth, reporting improvements, and process transformation.
- Serve as the functional lead for S2P administration across regions in a global support model, ensuring consistent practices and effective collaboration.
- Administer and configure the Zycus platform to support source-to-pay processes, including workflow design, approval rules, user roles, master data, forms, templates, notifications, and tenant settings.
Preferred experience and qualifications
- Bachelor’s or Master’s degree, or equivalent experience, is preferred.
- 8 to 14 years of experience supporting or administering Source-to-Pay, Procure-to-Pay, or procurement technology platforms.
- At least 2 years of experience leading, mentoring, or supervising a team, project workstream, or support function is preferred.
- Strong hands-on exposure to Zycus is preferred; Coupa, SAP Ariba, Oracle Procurement Cloud, or similar tools are also relevant.
- Background in procurement, sourcing, accounts payable, supplier onboarding, contract management, catalog management, or related procurement operations.
- Experience with workflow setup, access administration, data governance, testing, release support, and end-user support.
- Working knowledge of cXML, punchout catalogs, hosted catalogs, supplier integrations, and ERP-connected procurement environments.
- Experience in global or multi-region business settings.
- Exposure to SaaS release cycles, UAT, change management, and production support governance.
- Understanding of procurement controls, supplier master governance, invoice compliance, audit support, and process standardization.

They should be comfortable balancing operational support, platform governance, release readiness, and continuous improvement in a fast-paced enterprise environment.
