Role overview
This position coordinates travel support for Allegiant crewmembers across temporary duty assignments, charter trips, training travel, and irregular operations. The role covers hotel, air, and ground transportation arrangements, while ensuring company policies, procedures, and Collective Bargaining Agreements are applied correctly and cost controls are protected. It also supports corporate travel, internal business travel, employee leisure travel, and other employee travel requests, while representing the Travel Center in a professional way.
Minimum qualifications
Candidates should have a combination of education and experience that supports the role. Authorization to work in the United States under the Immigration Act of 1986 is required, and passing a criminal background check is mandatory.
A high school diploma or GED is required. At least one year of prior experience in a travel center or a related industry function is expected.
Technical and preferred qualifications
Applicants should be comfortable working with Excel, MS Access, MS Outlook, and MS Word. Helpful background includes familiarity with booking platforms, Sabre experience, and previous customer service work.
Key responsibilities
The Travel Coordinator will process crew travel requests using online booking tools in line with CBAs, update crew scheduling records, and ensure duty and rest rules are understood and followed. The role involves managing vendor communication by phone and email, maintaining service levels, and supporting frequent interactions with crew members through phone, email, and JIRA.
Additional duties include reconciling monthly credit card charges, recording transaction details accurately, handling employee and eligible family member interline travel, completing listings for travel on partner airlines and for vendors or award recipients, and responding to inquiries through phone, fax, email, and in person. The coordinator will also calculate fares and taxes for ATB tickets, submit travel expense reports, manage travel-related liaison work with outstation employees and vendors, and keep HRIS records current for employee non-revenue eligible travelers.
This role also includes processing monthly accounting sheets for flight, hotel, and car rental bookings, tracking monthly statistics for business and leisure travel requests, serving as a subject matter expert for corporate travel areas such as service providers, expense management, CoBus, and travel benefits, and helping train peers for emergency and last-minute outages including EPT, MyIDTravel, and hurricane-season operations. Support for new hire training, hotel RFPs, hotel account management, interline agreements, MyIDTravel administration, meetings, conferences, and other assigned work is also expected.
Work environment and physical demands
This is an office-based position. The team member must regularly be able to stand, sit, speak, listen, see, reach, bend, kneel, and use hands and fingers for computer, keyboard, printer, and phone work. The job may require lifting, pushing, pulling, or carrying up to 20 lbs, working various shifts or days in a 24-hour operation, and maintaining regular attendance. The environment may include moderate office noise, temperature changes, lighting changes, work in a confined area, extended time at a computer, and occasional travel.
