Job Overview

We are seeking a diligent Team Administrator to support our Group Legal and Corporate Governance functions. This role requires exceptional organizational skills to manage the Deputy Company Secretary’s calendar, coordinate travel, meetings, and expense processes efficiently. You will play a key role in daily operations, assisting with invoice payments, room bookings, and secretarial tasks while maintaining the highest degree of discretion with sensitive information.

Key Responsibilities

  • Manage calendar and meeting scheduling for the Deputy Company Secretary with meticulous attention to detail.
  • Organise travel itineraries and oversee expense reporting and processing.
  • Assist the Legal and Corporate Governance teams with meeting logistics, IT support, document notarisation, and travel arrangements.
  • Coordinate onboarding activities for new UK-based team members, including IT setup and introductory meetings.
  • Arrange and facilitate complex executive and team meetings, collaborating with internal and external parties.
  • Plan and manage all aspects of global legal meetings and conferences, including attendance coordination, presentation materials, and document management via a shared portal.
  • Support trademark renewals by liaising with attorneys as needed.
  • Process purchase orders and invoices related to Corporate Governance and Legal departments.
  • Compile detailed expense reports for Corporate Governance and Legal teams.

Candidate Profile

  • Proven experience in calendar and meeting coordination with excellent organisational skills.
  • Ability to prioritize multiple tasks effectively even under tight deadlines.
  • Strong confidentiality and professionalism when dealing with sensitive information.
  • Proficient with Microsoft Office and Google Suite tools.
  • Trustworthy and reliable, able to thrive in a fast-paced, lean operational environment.
  • Highly proactive, flexible, and attentive to detail with an ability to anticipate issues.
  • Skilled in building positive working relationships across all organizational levels, including senior stakeholders.
  • Previous experience managing competing priorities or working in dynamic environments is advantageous but formal education is not mandatory.
