About the Role
This position supports the day-to-day clinical and administrative flow of a busy women’s health practice. Depending on staffing and patient volume, the work may shift between clerical coordination and direct support for providers and patients. The role is part of a broader healthcare organization focused on improving community well-being through accessible, high-quality care and ongoing professional development for employees.
What You’ll Do
- Arrange surgical procedures end to end, make sure all required materials are ready, and manage pre-clearance and prior authorization steps.
- Assist patient service representatives with check-in and check-out, demographic updates, insurance card scanning, and collection of copays or past-due balances.
- Review histories and physicals, along with surgical paperwork for the week, to verify that documents are complete and properly signed.
- Coordinate additional appointments and services such as lab work, imaging, procedures, testing, referrals, and insurance approvals.
- Handle incoming calls, route and triage inquiries, take messages, confirm appointments, and manage questionnaires and reminder workflows.
- Complete patient checkout tasks, print CVS, perform end-of-day cash reconciliation, and prepare deposits.
- Keep patient records current in Medent, confirm appointments, and help organize provider meeting schedules.
- Place new and returning patients according to scheduling protocols, maintain provider templates, and support transitions with the answering service.
Requirements
- High school diploma or an equivalent credential.
- Strong service orientation and practical problem-solving skills.
- Good time management and the ability to prioritize multiple tasks effectively.
- Comfort using computers, including Medent and Microsoft Office.
- Willingness to support other departments when staffing needs require it.
- Ability to take on additional duties as assigned to help operations run smoothly.
- Previous medical office experience is preferred.
- College-level education or training in a healthcare support field is preferred.
- Prior EMR exposure or training is helpful and preferred.
Physical Requirements
The role is primarily seated, with some standing and frequent reaching and bending. Candidates must be able to lift up to 25 lb.

Schedule and Work Location
This is an onsite position based at Cayuga Park in Ithaca, NY. The standard schedule is Monday through Friday, 8:00 am to 4:30 pm, with some flexibility.
Compensation
The posted pay range is $20.50 to $26.00 per hour.
